University of Wyoming and Subdivisions Office Associate Senior - Veterinary Science/Wyoming State Vet Lab in Laramie, Wyoming

JOB TITLE:

Office Associate, Senior - Veterinary Science & Wyoming State Vet Lab

 

JOB PURPOSE:

Perform complex administrative/management support tasks with discretionary authority; independently make decisions that substantially impact operations within and outside designated unit/program; administratively supervise comprehensive office operations and support staff for department/unit. The hired person will be primarily responsible for providing administrative support for the Department of Veterinary Sciences, and the Wyoming State Veterinary Laboratory. Tasks will involve financial decision-making, require outstanding communication skills within a veterinary setting, and the ability to work with a number of software programs.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Autonomously interpret policy and procedures, providing interpretations requiring extensive knowledge of University, state, and federal rules and regulations.

Perform complex problem resolution. Serve as a resource for department/unit and campus.

Participate in fiscal planning activities.

Research, compile, develop, analyze and integrate data. Prepare related reports and correspondence; perform difficult research for special projects as assigned by supervisor.

Create and/or maintain complex records systems and/or databases.

Coordinate information between individuals, departments and/or outside agencies as directed; assist with problem resolution as required.

Make recommendations on and revise existing office policies, systems, methods, and procedures; create/revise related documentation. Ensure compliance with policies and procedures.

Supervise support staff.

The hired person will be one of three senior office associates responsible for shared duties supporting administrative functions of the Department of Veterinary Sciences / Wyoming State Veterinary Laboratory. Primary responsibilities will include all student and class-related administration, receiving phone calls, scheduling meetings and events, assisting faculty with administrative functions, supporting financial procedures including p-card processing, producing newsletter, and record keeping and compliance. The person will also be responsible for promoting the department through newsletters and other activities.

SUPPLEMENTAL FUNCTIONS:

Provide backup support in administrative functions of the Wyoming State Veterinary Laboratory.

Some positions may perform academic advising.

REMOTE WORK ELIGIBILITY:

This position provides vital support to campus customers and requires the successful candidate be available to work on campus.

MINIMUM QUALIFICATIONS:

Education: Associate's degree or equivalent experience

Experience: 1 year progressively responsible work-related experience

Required licensure, certification, registration or other requirements: Valid driver's license with a motor vehicle record (MVR) that is compliant with the University Vehicle Use Policy.

DESIRED QUALIFICATIONS:

Experience in preparing and editing documents to publishable standards.

Experience in web site development.

Experience in an administrative position.
