System One Facilities Coordinator in Lake Mary, Florida

This position is part of our evolving and growing Facilities Department at our Corporate Headquarters. You will assist with administrative duties and manage the mailroom, shipping, and receiving. Your role includes providing support in customer service, technical support, maintenance, operations, and finance. Excellent attention to detail and organizational skills are required.

Essential Duties & Responsibilities

  • Mailroom Management

  • Oversee mailroom functionality and organization.

  • Log and manage incoming shipments using tracking software.

  • Ensure delivery coordination, including obtaining signatures.

  • Shipping & Receiving

  • Prepare outgoing shipments, including packaging and labeling.

  • Sort and log USPS mail and trackable deliveries.

  • Manage multiple FedEx accounts and IT user permissions.

  • Order shipping supplies for FedEx and USPS.

  • Collaborate with logistics for international shipments and documentation.

  • Office Supply Management

  • Oversee office supply ordering and inventory maintenance.

  • Conduct periodic checks and restock print/copy areas.

  • Regional Office Support

  • Coordinate with vendors and office staff for facility-related issues.

  • Manage document destruction and storage services.

  • Oversee break rooms and vending services, ensuring adequate stocking and functionality.

  • Work Order Management

  • Monitor and execute requests from the work order system and related software.

  • Schedule and manage minor repairs and maintenance.

  • Prepare comprehensive reports on work orders and facility projects.

  • Communicate with Property Management on facility issues.

  • Facility Maintenance

  • Conduct periodic walkthroughs to identify improvement opportunities.

  • Assist with building security and manage access for visitors and deliveries.

  • Ensure proper personnel access and supervise facility vendors during visits.

  • Establish and maintain positive relationships with peers, management, and external customers.

  • Adhere to department policies and procedures.

  • Support Duties

  • Perform other duties as required to support the department.

    Knowledge, Skills & Education

  • Education & Experience

  • Associate's degree preferred or 1-3 years of related experience/training, or an equivalent combination.

  • Language Skills

  • Ability to read and comprehend simple instructions and write simple correspondence.

  • Effective presentation skills in one-on-one and small group settings.

  • Multilingual abilities are preferred.

  • Reasoning Ability

  • Common sense understanding to carry out written, oral, or diagram instructions.

  • Problem-solving in standardized situations.

  • Computer Skills

  • Proficiency in Microsoft Office (Word, Excel, PowerPoint).

  • Basic understanding of Audio/Visual systems and office technology.

    Physical Demands & Work Environment

  • Regularly required to sit, talk, and hear.

  • Occasionally required to lift/move up to 70 pounds.

  • The work environment is usually quiet
