Job Summary

The CMMS Administrator Support Specialist plays a vital role in supporting on-site teams with Computerized Maintenance Management System (CMMS) compliance, standardization, and the implementation of best practices. This position acts as a backup CMMS Coordinator, providing key support in maintaining the efficiency and accuracy of maintenance management processes. This is a remote role that requires travel approximately 20-30% of the time.

Key Responsibilities:

  • Promptly respond to phone calls and emails, offering assistance and guidance on CMMS-related inquiries, and escalate issues when vital to ensure prompt resolution

  • Supports and trains new users to ensure system proficiency.

  • Assist with invoicing, billing, and purchase order processes to ensure accuracy and timely completion.

  • Maintain and manage compliance documents related to OSHA, EPA, and other regulatory standards. Proactively monitor and update these documents within the CMMS, ensuring all sites consistently adhere to the latest regulations and industry standards

  • Track and analyze Key Performance Indicators through detailed reports, collaborating closely with supervisors to drive performance improvements and achieve organizational goals.

  • Coordinate the preventative maintenance schedules and update procedures and tasks as needed

  • Create and manage work orders according to the established flow chart process, proactively monitoring and supporting the deferred maintenance program to ensure alignment with Best Practices

  • Perform other duties as assigned to support the goals and mission of the organization.

Preferred Qualifications:

  • Administrative support experience preferably in facilities maintenance support services

  • Proficient in using CMMS software. Maintenance Connection Preferred

  • Experience with data analysis and report generation is preferred.

  • Excellent written and verbal communication skills

  • Computer skills and knowledge of MS Office products, including Word, Excel, PowerPoint, Outlook, and the internet.

  • Ability to travel 20-30%
