Job Summary

Works under general supervision with the Director and provides complex administrative support work for the Office of International Student & Scholar Services. Has access to protected information under FERPA and HIPAA.

Essential Duties and Responsibilities

  • Performs word processing, desktop publishing, presentation, and data management activities, and assists staff with the use of these applications. Composes correspondence, reports, publications, and presentations, including editing and proofreading. Creates and maintains spreadsheets and databases.

  • Researches and analyzes administrative requirements for specific programs or projects. Provides technical information regarding administrative procedures, services, or programs. May perform mail services.

  • Assists in the development of office procedures

  • Applies, interprets, and communicates policies and procedures and serves as a resource for answering questions regarding policies.

  • Maintains the student database system and student lists.

  • Makes arrangements for meetings, appointments, conferences, visitors and travel. May set up meetings, seminars, and other special events to include facilities, equipment, and food.

  • Maintains office supplies and equipment. Maintains office reference materials including online office materials. May deliver, pick up, or receive cash payments, documents, supplies, equipment, or materials.

  • Serves as the supervisor of student workers. Participates in the hiring, training, scheduling and supervision of student workers and other support staff. Coordinators activities, projects assigned to student workers by the OISSS professional staff.

  • Manages the enrollment and processing of the Student Health Insurance Plan with Academic Health Plan (AHP) for international students on the F-1 and J-1 visa per Texas A&M System policies. Answers student’s questions regarding the plan, processing of waivers, refunds and serves as the main point of contact with Academic Health Plan and works closely with HR regarding the waivers of Graduate Student Assistants.

  • Serves as a DSO (Designated School Official) and ARO (Alternate Responsible Officer) to assist the International Student Advisors with SEVIS related tasks such as address updates, SEVIS Registration and institutional SEVIS reporting and record keeping requirements.

  • Updates and maintains the Office website for changes.

  • Manages the front desk and oversees the student workers.

  • Serves as the Export Control Delegate at Alternate Accountable Property Officer for the Office.

Minimum Requirements

Education-High school diploma or equivalent combination of education and experience.Experience-Three years of experience.Knowledge of-Knowledge of word processing, spreadsheet, and database applications.Ability to-Ability to multitask and work cooperatively with others. Strong verbal and written communication skills. Ability to work with sensitive information and maintain confidentiality. Strong interpersonal and organizational skills.

Additional Requirements

Must be a U.S. Citizen. This is required to serve as a Designated School Official (DSO) and Alternative Responsible Officer (ARO) as per U.S. Federal government regulations.
