A Carter Lumber Contract Assistant provides comprehensive support to the contract management processes. You’ll collaborate closely with the contract management team and other stakeholders to ensure the smooth execution of contracts by managing efficient administrative operations including communications, documentation, and the contract database. This position is ideal for someone who is detail-oriented, organized, and has the ability to multitask, contributing to the overall success of the company’s residential and commercial construction projects. A strong belief in the mission and goals of the company are necessary to this position.
Main duties and Responsibilities:
Provide comprehensive assistance to the contract management team
Review incoming communications, assess importance, and summarize or distribute to relevant team members
Process new contract requests, including opening new files and organizing related documentation
Handle administrative tasks, including maintaining the contract database, generating reports, and ensuring timely completion of contracts from pre-review to execution
Process insurance requests, including requesting certificates of insurance and tracking and filing same
Lead the pre-qualification process, including coordinating with internal departments to gather necessary documentation and ensuring timely completion
Assist in contract reviews as needed, including vendor agreements, subcontracts, master agreements and purchase orders
Coordinate contract approvals and signatures through the contract database
Handle miscellaneous clerical tasks as needed, including customer service, data entry, scanning and filing
Skills and Requirements:
Ability to work independently on routine tasks is a must
Ability to work in a fast paced, deadline driven environment
Ability to maintain accurate and detailed records
Effective oral and written communication skills
Working knowledge of Microsoft Office suite including Outlook, Word, and Excel
Working knowledge of Adobe, including utilizing the tools feature
Experience in contract administration within the construction industry is preferred, but not required
Ability to Commute: Tallmadge, Ohio
