Description

Job Purpose: This role leads iLIFE internal staff and ensures that all iLIFE functions are managed for the benefit of all iLIFE customers. This would include but is not limited to participants, vendors, clients, state programs, and employees. This position will have a focus of timesheet/payroll processing.

Essential Job Functions:

  1. Employee management:

  2. Supervise assigned staff members.

  3. Responsible for ensuring employees have appropriate training and other resources to perform their jobs successfully.

  4. Ensure staff is meeting individual and departmental productivity standards and manage substandard performance though improvement plans and disciplinary action when needed.

  5. Administer performance appraisals for direct reports, approve time off requests and timesheets

  6. Communicate and enforce Agency and iLIFE policies and procedures.

  7. Make appropriate adjustments an approvals to Paycom system for employee time management.

  8. Lead all Operational functions in Timesheet/Payroll team:

  9. Assign projects and support initiatives.

  10. Maintaining necessary knowledge about DHS waiver and program certification requirements.

  11. Provide daily direction and communication to teams.

  12. Makes daily decisions and exceptions whether to approve or deny with the support of executive leadership.

  13. Provide back up support to operational staff as needed to ensure deadlines are met. Responsible for auditing day-to-day functions as necessary.

  14. Lead involvement in monthly meetings with DHS regarding processing or paperwork issues as it related topayroll.

  15. Coordinates with the Finance Department on the funding file to DHS

  16. Actively works on DHS questions and or concerns regarding program and provides resolution within established SLAs.

  17. Actively educates management/team of current state and federal regulations as it relates to payroll processing requirements.

  18. Exercises discretion and independent judgment as it relates to payments, and processes. Informs leadership of variances to expected processing.

  19. Involvement in monthly, quarterly, and annual reporting for clients

  20. Complete projects as assigned

  21. Provide exemplary customer service to participants, participant’s employees, co-workers, vendors, and government agencies

  22. Provide excellent customer service to participants, participant’s employees, co-workers, vendors, and government agencies.

  23. Manages complaints and grievances along with troubleshoots exculpated issues.

  24. Conduct face to face interactions with participants, participant’s employees, and IRIS Consultants when necessary.

  25. Effectively manage escalations within the department by ensuring appropriate accountability, sense of urgency, communication and follow through to closure

  26. Responsible for suggesting methods to improve area operations, efficiency and service to both internal and external customers.

  27. Cross train staff and provide support to Management.

  28. Provide direct support and back-up to management, leads, and other staff as needed.

Qualifications

Required Technical Skills, Experience, Education, and Credentials:

  1. Bachelor’s Degree or a High School Diploma and an equivalent combination of training and experience.

  2. Minimum of 4 years of experience in payroll operations

  3. Timesheet/payroll focus

  4. Experience and knowledge of high volume payroll processing and payroll software systems

  5. Adapt quickly to change and shifting priorities

  6. Maintain high work ethic.

  7. Engage and work collaboratively with all levels of personnel within the company to achieve common goals.

  8. Excellent verbal and written communication skills.

  9. Maintain confidentiality and comply with Health Insurance Portability and Accountability Act (HIPAA).

  10. Ability to diffuse and manage stressful situations.

  11. Attention to detail

  12. Current Wisconsin Driver License and automobile insurance with minimum limits of $50,000/$100,000 bodily injury and $10,000 property damage and access to a personal vehicle

Work Environment and Physical Requirements

The work environment and physical demands described here are representative of those that an employee may experience or must do to successfully perform the essential functions of the job:

  1. Work is performed largely in a fast paced, and at times stressful, office environment utilizing various office equipment including, but not limited to, a personal computer, copy machine, fax machine, and multi-line phone.

  2. Hours of work will generally be Monday through Friday during regular iLIFE business hours and average at least 40 hours a week with additional evening and weekend hours as business needs dictate.

  3. Ability to effectively communicate complex thoughts and directions over the telephone, by computer and in person.

  4. Ability to direct the work of volunteer or temporaries as needed.

  5. Maintain a high energy level that is focused on completing departmental and agency goals in a professional and timely manner.

  6. Possess the desire to learn and grow with the job, enhancing responsibility and skill to a higher level.
