Job Overview:

The Receptionist is responsible for providing exceptional customer service, keeping the front reception desk and area clean, answering phones, greeting walk-in customers, processing incoming mail and returned mail, answering fundamental questions related to our homeowners’ associations, following all written processes, ordering and stocking supplies and assisting Client Services with projects

Your Responsibilities:

  • Answer phones, greet & assist residents and vendors, and coordinate all activities at the front reception desk
  • Process daily mail distribution in a timely manner using written process
  • Learn and manage the phone system and out of office messages
  • Keep reception & all office meeting rooms clean and free of clutter
  • Answer fundamental questions from homeowners, residents, and vendors
  • Process and accept packages and parcels using written processes
  • Update phone message when the office is impacted by weather, emergencies, holidays, etc.
  • Accept & distribute all payments received in-person
  • Process returned mail using written process
  • Manage and order office supplies and requests according to checklists
  • Manage stocking the refrigerators and snack areas throughout the office
  • Daily stocking of refrigerator items for President
  • Oversee cleanliness of common area space daily to ensure all food is picked up and put away each day and the dishwasher is started on Friday at the close of business
  • Initiate monthly refrigerator cleaning
  • Create welcome signs as needed and requested for business meetings and greetings
  • Assist CSS & RSS with other projects as requested.
  • Complete other duties as assigned.

Additional Responsibilities:

  • Answer or forward phone calls within 24 hours
  • Adhere to work schedule as designated by supervisor and communicate in advance any needed variations to schedule for approval
  • Practice and adhere to FirstService Residential Global Service Standards
  • Make eye contact, smile, stand acknowledge, and offer an authentic greeting to all customers.
  • Conduct business at all time with the highest standards of personal, professional and ethical conduct
  • May participate in any variety of meetings and work groups to integrate activities, communicate issues, obtain approvals, resolve problems, and maintain specified level of knowledge pertaining to new developments, requirements, policies, and regulatory guidelines
  • Ensure all safety precautions are followed while performing the work
  • Perform any range of special projects, tasks and other related duties as assigned

Skills and Qualifications:

  • High school diploma
  • Minimum two years of receptionist experience
  • Some college and/or job-related education preferred

  • Sitting at a desk for extended periods of time
  • Working on a computer throughout the day (monitor, keyboard, and mouse use)
  • Handle, finger, grasp and lift objects and packages
  • Reach with hands and arms
  • Complete all required forms
  • Ability to listen and focus for long periods of time
  • Standing at a copier for extended periods of time
  • Climbing warehouse ladder to access storage boxes
  • Subjected to loud noises when running postage and folding machines
  • Ability to lift up to 30 lbs.

Travel:

Local travel to work assignments in the Kansas City Metropolitan area. May require meetings at other FirstService Residential offices in Canada and US.

Compensation: $16.00 - $18.00 per hour
