What we do and how we do it

The Hallmark Visitors Center (HVC) is a free exhibit space that shares the story of the Hallmark company. Kaleidoscope is a free art-making space for kids. The two sites represent and share Hallmark’s passion for enriching people’s lives by helping them connect, communicate, and create.

The HVC/Kaleidoscope Visitor Services Coordinator is responsible for accurately managing all aspects of the reservations process for both sites. This position is the primary point-of-contact for guest communications online, over the phone, and in person. As such, the Visitor Services Coordinator supports front-desk operations for both sites. As part of the team that ensures positive, memorable guest experiences, the Visitor Services Coordinator is also key in supporting events, receptions, special on-site and off-site programs, and volunteer activities, for both sites. Work is performed both back-of-house in an office environment and front-of-house in public exhibit and reception spaces.

Located at Hallmark’s Headquarters in Crown Center, both sites are regularly open Tuesday – Saturday (as well as Sundays during the Christmas season), welcoming thousands of visitors annually: families, tourists, school and community groups, employee groups, business partners and affiliates, and Hallmark fans and customers.

The HVC/Kaleidoscope Visitor Services Coordinator is a Tuesday – Saturday position. Additional expected workdays include days surrounding holidays when Hallmark’s corporate offices may be closed, occasional Mondays for trainings, and/or Sundays and evenings for special or seasonal programs and events.

In this role you will

Accurately manage the reservations process for both sites:

  • Primary point-person for consistently (daily) responding to guest inquiries via phone, email, and website, and for directing inquiries appropriately.

  • Handle reservation requests, changes, and cancellations for groups in the online database via phone and/or email.

  • Create and distribute daily reservations schedules and monthly attendance reports to ensure clear communication among the HVC/K team.

  • Track visitation data to improve reservations management and to determine projected attendance for setting seasonal scheduling.

  • Efficiently works with Kaleidoscope Supervisor to ensure best practices for utilizing and maintaining online database for accomplishing these responsibilities.

Demonstrate outstanding visitor service and guest interactions:

  • Greet guests, scan reservation tickets, and handle other visitor-service related tasks when working at HVC and Kaleidoscope front desks.

  • Interact with visitors and acts as a facilitator for program activities when in the Kaleidoscope studio. Assist with studio set-up and clean-up before and after art-making sessions.

  • Support visitor service-related activities, including greeting and welcoming guests, assisting with special events and receptions, hosting groups, and other tasks, as requested.

  • Collaborate with the Kaleidoscope Experience Supervisor and other team members on volunteer activities, outreach, and programming.

  • Maintain a positive and friendly attitude and exemplify Hallmark’s high standard of ethics and caring in all guest interactions.

Basic Qualifications:

The following is required to be considered for this role:

  • High School Diploma or GED or equivalent required.

  • Minimum experience of one year working in a public-facing role, such as customer service, hospitality, or a museum, cultural, or educational setting.

  • Demonstrated technology skills: Must be proficient in database management systems and Microsoft Suite (Word, Excel, Teams).

  • Able to walk/stand for 90 minutes at a time and occasionally lift boxes weighing up to 25 lbs.

Preferred Qualifications:

  • Strong organizational skills. Ability to complete tasks with a high degree of accuracy and professionalism.

  • Ability to work independently and as part of a team and move between the two with ease.

Additional Details:

  • This is a Tuesday – Saturday position. Additional expected workdays include days surrounding holidays when Hallmark’s corporate offices may be closed, occasional Mondays for trainings, and/or Sundays and evenings for special or seasonal programs and events.

  • This is an on-site, in-person position at the Hallmark Visitors Center, located at Hallmark’s Headquarters in the Crown Center area in downtown Kansas City.

  • Relocation is not provided.
