Position Summary:

Support staff position assisting with various Academic Affairs and Research processes and project maintenance coordination

Duties & Responsibilities:

  • Maintenance, and monitoring of the operating budgets for Academic Affairs and Research (exceeds $67 million)

  • Reconcile account discrepancies against Banner system for entire Academic Affairs and Research division (salaries, fringes, supplies and services, travel, and capital)

  • Compile, maintain, and develop spreadsheets and statistical reports to be used in management decision making such as top three budget priorities, summer salary requests, off-budget salary requests, infrastructure requests, technology fee and computer replacements, faculty development, course fee allocations and merit spreadsheets

  • Analyze accounts for trends to reflect various aspects of the division's fiscal status

  • Review and approve transfers and requisitions (expenditures) within division

  • Develop fee allocations and allocate funds to departments through budget transfers

  • Reconcile monthly accounts for Academic Affairs/Provost Office

  • Secure transcripts and documents needed for maintenance of faculty files

  • Maintain and update faculty transcript information in Banner PPAGENL

  • Maintain and update PEAFACT records

  • Assist in annual Academic Affairs budget development

  • Provide help and training to AAR support staff

  • Assist Director of Budget & Planning with special projects and assignments

  • Serve as primary proxy for Director of Budget & Planning for Taleo offer letters and EPAF approvals when necessary

  • Reconcile department p-card

  • Reconcile travel documents for the whole Provost suite

  • Other duties and projects as assigned

Knowledge/Skills/Abilities:

Effective communication (both oral and written) and critical thinking skills

Knowledge of university operations, policies, and procedures

Knowledge of basic accounting principles

Ability to conduct research

Ability to organize meetings and multi-task

Ability to handle confidential information

General office management skills and software proficiency in Microsoft Suite especially in Excel

General Days/Hours:

Monday - Friday

8:00 am - 5:00 pm

Some evenings and weekends

Minimum Qualifications:

The formal education of an earned Bachelor's Degree in business administration, office administration, or a related field

Other job related education and/or experience may be substituted for all or part of these basic requirements, except for certification or licensure requirements, upon approval of the qualifications review committee

Five (5) years of experience in a senior level administrative position
