Position Summary:

The Administrative Specialist III is responsible for coordinating office activities, researching and preparing special reports, and developing, revising, and recommending administrative policies and procedures as directed by supervisor. This position is governed by state and federal laws and institution policy.

Duties & Responsibilities:

  • Answers telephone and directs calls to appropriate parties

  • Handles walk-in traffic

  • Maintains information banks for programs

  • Handles correspondence/mail

  • Types and proofreads various documents including letters, memoranda, reports, forms, laboratory manuals, etc.

  • General office duties

  • Inventories and orders supplies

  • Maintains various computerized and paper files, records, logs, and retrieves information upon request

  • Maintains budget reports for both Radiologic and Clinical Lab Sciences Programs

  • Handles appointments for faculty & advisor

  • Assists other administrative specialists in the college as necessary

  • Other duties as assigned

Knowledge/Skills/Abilities:

• Knowledge of basic principles and practices of mathematics and statistics.

• Knowledge of computers and software applications.

• Ability to prepare, present, interpret, and review oral and written information and reports.

• Ability to interpret and apply policies and procedures.

• Ability to analyze financial records and prepare reports.

• Ability to plan, organize, and prioritize daily, weekly and monthly tasks.

• Willingness and ability to learn new procedures, tasks, and information.

• Excellent communication skills and team-based mindset

General Days/Hours:

Monday - Friday

8:00 a.m. - 5:00 p.m.

Additional hours as requested and/or needed

Preferred Qualifications:

Ideally, the successful candidate will also have at least one year of training or coursework in business management or a related field; and at least two years of work experience in a business office or a position that required strong customer service skills.

Minimum Qualifications:

The formal education equivalent of a High School Diploma is required

Other job related education and/or experience may be substituted for all or parts of these basic requirements, except for certification or licensure requirements, upon approval of the qualifications review committee
