Position Summary:

The Administrative Assistant serves as support staff for the College of Veterinary Medicine Dean through effective administrative support and communication. This position performs a wide variety of technical and/or confidential administrative duties for the Dean.

Duties & Responsibilities:

  • Provide administrative and managerial duties supporting the Dean's office

  • Organize and maintain the calendar for the Dean via the University's electronic mail and communications software; prepares reports, documents, and other correspondence

  • Manage the day-to-day operations of the Dean's office including but not limited to sensitively and confidentially documenting/responding to inquiries through e-mail, phone, and walk-ins

  • Enter requisitions and make purchases

  • Serve as purchasing card and department card delegate and liaison

  • Manage supplies for the college and ensure procurement state policies and guidelines are followed

  • Arrange travel accommodations and process related travel reports through the university travel system

  • Maintain various computerized and paper files, records, and logs, and retrieve information as needed for reference or to compile reports

  • Develop best practices protocols and workflow processes to support collaboration and communications from all stakeholders within the College of Veterinary Medicine

  • Maintain positive working relationship with all stakeholders inside and outside the A-State College of Veterinary Medicine. Provide exemplary customer service while working with students, parents, staff and faculty via phone, email and in person

  • Special projects and other duties as assigned.

Knowledge/Skills/Abilities:

Must be proficient in Microsoft 365 and Office Suites software

Preferred to have working knowledge of Taleo, Banner, and Concur Enterprise Software

Effective communication (both oral and written) and critical thinking skills

Knowledge of university operations, policies, and procedures

Knowledge of basic accounting principles

Ability to conduct research

Ability to organize meetings and multi-task

Ability to handle confidential information

General office management skills

General Days/Hours:

Monday - Friday

8:00 a.m. - 5:00 p.m.

Additional hours as requested and/or needed

Minimum Qualifications:

The formal education equivalent of an earned bachelor’s degree

Two (2) years of experience in administrative position

Other job related education and/or experience may be substituted for all or parts of these basic requirements, except for certification or licensure requirements, upon approval of the qualifications review committee
