The Payroll and Benefits Manager is responsible for overseeing the end-to-end payroll process and benefits administration to ensure employees are compensated accurately, on time, and in compliance with federal, state, and local regulations. This role ensures seamless payroll operations, including precise wage calculations, deductions, and tax withholdings, while maintaining accurate employee records.

Additionally, the incumbent manages benefits programs, including enrollment, deductions, compliance, and cost monitoring, serving as a key resource for employees regarding payroll and benefits inquiries. The Payroll and Benefits Manager also plays a critical role in system management, process optimization, reporting, and ensuring adherence to employment laws and organizational policies.

Responsibilities

Payroll Processing: Oversee the end-to-end payroll process, ensuring the accurate and timely calculation of employee wages, including regular pay, overtime, incentive compensation and deductions. Ensure compliance with company policies, labor laws, and tax regulations while maintaining confidentiality and accuracy in payroll transactions. Identify and resolve discrepancies in payroll data and processes.

Payroll Distribution : Manage payroll disbursement processes, including direct deposit and physical check distribution, ensuring employees receive timely and accurate payments. Work closely with financial institutions and payroll service providers to address any issues.

Tax Compliance: Ensure payroll compliance with all federal, state, and local tax regulations, including accurate calculation, withholding, and timely filing of payroll taxes. Stay updated on changes to tax laws and employment regulations, implementing necessary adjustments to payroll processes.

Benefits Administration : Manage all aspects of employee benefits programs, including enrollments, changes, terminations, and payroll deductions for health insurance, retirement plans, and other employee benefits. Oversee the annual open enrollment process, collaborating with HR and benefits providers to ensure a smooth and efficient experience. Communicate benefits information through various channels and provide ongoing support to employees regarding their benefit options.

System Management: Maintain and update payroll and benefits systems, ensuring accuracy, security, and efficiency. Troubleshoot system issues, collaborate with IT and payroll software vendors to resolve technical problems, and implement process improvements to enhance system functionality. Stay informed on advancements in payroll and HR technology to optimize payroll and benefits administration.

Compliance & Audits : Support internal and external audits by ensuring payroll and benefits records are accurate, complete, and compliant with company policies and regulatory requirements. Proactively identify areas for improvement and implement corrective actions as needed.

Employee Records Management: Maintain and update comprehensive employee payroll records, including salary details, pay rates, hours worked, tax withholdings, direct deposit information, and other relevant payroll and benefits data. Ensure data accuracy, security, and compliance with record-keeping regulations.

Employee Support : Serve as the primary point of contact for employee payroll and benefits inquiries, providing clear and timely responses regarding pay statements, deductions, benefits, tax withholdings, and

related matters. Educate employees on payroll policies and benefits programs to enhance understanding and engagement.

Reporting: Generate and analyze payroll and benefits reports for management, providing insights on payroll expenses, tax liabilities, benefits costs, and other key metrics, as needed. Prepare detailed reports for audits, compliance reviews, and financial planning.

Qualifications

  • Minimum of 5 years of experience in payroll and benefits

  • Extensive knowledge of payroll processing, benefits administration and tax compliance.

  • Proficiency in payroll and benefits management systems/software.

  • Outstanding interpersonal and customer service skills with the ability to work both independently and on teams

  • Strong analytical and problem-solving abilities

  • Excellent communication, presentation and interpersonal skills

  • Working knowledge of compliance with ERISA, IRS laws, and current regulations pertinent to health and welfare plans

  • Ability to effectively manage multiple priorities and projects at once

The salary range for this position is $100,000 - $120,000. Factors such as scope and responsibilities of the position, candidate's work experience, education/training, job-related skills, internal peer equity, as well as market and business considerations may influence base pay offered. This salary may be subject to a geographic adjustment (according to a specific city and state and depending on the role), if an authorization is granted to work outside of the location listed in this posting.

This position is eligible to participate in our annual Short-Term Incentive (STI) program. Specific information about the plan including eligibility rules and target, will be furnished upon hire.
