Robert Half Administrative Assistant in Jacksonville, Florida

Description We are offering a long term contract employment opportunity for a meticulous Administrative Assistant in the construction industry, located in Jacksonville, Florida, 32218, United States. In this role, you will be pivotal in coordinating various facets of our customer's replacement window, siding, and door installation projects. Your expertise will be crucial in scheduling installations, monitoring project progression, and ensuring customer satisfaction.

Responsibilities:

• Coordinate and schedule installation appointments, focusing on efficiency and timeliness

• Oversee the installation pipeline, making necessary updates and closures daily

• Manage and prepare installation paperwork to equip the installation crews for each scheduled project

• Assign crews with experience in each new project to ensure successful completion

• Maintain an accurate inventory of orders and provide timely ETAs to all stakeholders

• Resolve customer issues relevant to the project to ensure high customer satisfaction

• Handle payments and funding for completed jobs to maintain financial standards within the company

• Operate a multi-line phone system to schedule both in-home and in-showroom appointments for home improvement projects

• Understand and manage HOA approvals and permit submissions/packet preparations

• Perform data entry tasks for contracts and all related paperwork to transition our customers from a sale to install

• Undertake any other duties as assigned. Requirements • Minimum of 3 years of experience working as an Administrative Assistant

• Proficiency in answering inbound calls, handling customer service inquiries, and conducting data entry tasks

• Demonstrated ability to manage email correspondence efficiently

• Experience with both inbound and outbound calls

• Proficiency in Microsoft Office Suite including Excel, Outlook, PowerPoint, and Word

• Experience in scheduling appointments and managing calendars

• Knowledge of commercial construction projects, the construction industry, and construction projects

• Familiarity with construction plans and preconstruction processes

• Experience or understanding of HOA regulations and procedures

• Experience with equipment installation in a commercial or construction setting TalentMatch®
