We are seeking a detail-oriented and organized Administrative Specialist to join our team at a professional CPA firm near Atlantic Beach in Jacksonville, Florida. The ideal candidate will provide a wide range of administrative support, front office management, and clerical duties to ensure the smooth operation of the firm. This position requires a person who excels in multi-tasking and has a positive, professional demeanor. You will be the first point of contact for clients and will also assist with data entry, document processing, and secretarial tasks, including tax form submissions. This role is ideal for someone with a keen eye for detail, proficiency in basic office equipment and software, and an appreciation for a calm, quiet work environment—at least until tax season arrives! The perfect candidate will enjoy analytical, repetitive tasks and thrive in a structured setting. It is important to note - due to the small size of this company, they do not offer medical benefits Qualifications:

  • Proven experience in an administrative, reception, or office support role, preferably in a CPA or finance environment.

  • strong data entry skills with attention to detail and accuracy.

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with accounting software is a plus.

  • strong organizational and time management skills with the ability to prioritize tasks.

  • Excellent written and verbal communication skills.

  • Ability to handle sensitive and confidential information with discretion.

  • Willingness to learn and assist with tax form processing and other firm-related tasks.

salary: $45,000 - $52,000 per year

Responsibilities

  • Reception Duties:

  • Greet clients, answer phone calls, route inquiries, and respond to emails professionally and promptly.

  • Schedule and manage appointments, including client meetings with CPAs.

  • Ensure the front office is organized and maintains a welcoming environment for clients.

  • Data Entry & Document Processing:

  • Accurately input tax forms and financial documents into the firm's systems.

  • Process and file important documents, ensuring adherence to compliance standards.

  • Handle tax form submissions and assist in processing client information during tax season.

  • Administrative Support:

  • Provide general administrative support to the CPA team, including preparing correspondence, reports, and presentations.

  • Assist in the preparation of client invoices, payment tracking, and related tasks.

  • Maintain office records, update client files, and assist with organizing electronic and paper documentation.

  • Secretarial & Clerical Tasks:

  • Handle various secretarial tasks such as filing, photocopying, scanning, and preparing office supplies.

  • Assist with assembling tax returns and related documents for client meetings and submissions.

  • Assist in organizing and maintaining the office calendar and managing meeting logistics.

  • Office Management Support:

  • Ensure office supplies are stocked and order new materials as needed.

  • Manage incoming and outgoing mail, including confidential documents.

  • Coordinate with vendors and service providers as required.
