Job Summary:

The Accounts Payable Supervisor oversees the daily operations of the accounts payable department, ensuring that all invoices and expense reports are processed accurately and in a timely manner. This role involves managing a team of accounts payable clerks, ensuring compliance with company policies and procedures, and maintaining strong relationships with vendors and internal departments.

Key Responsibilities:

  1. Supervision and Leadership:

  2. Supervise and mentor the accounts payable team, including hiring, training, and evaluating performance.

  3. Assign tasks and manage the workflow within the department to ensure efficiency.

  4. Provide guidance and support to team members, resolving any escalated issues.

  5. Invoice and Payment Processing:

  6. Oversee the processing of invoices, ensuring accuracy and compliance with company policies.

  7. Monitor payment cycles, ensuring that payments are made in a timely manner.

  8. Manage the AP ledger, ensuring it is updated and reconciled regularly.

  9. Vendor Relations:

  10. Maintain strong relationships with vendors, addressing any payment discrepancies or disputes.

  11. Negotiate payment terms with vendors as needed to optimize cash flow.

  12. Ensure that vendor accounts are reconciled and that any discrepancies are resolved promptly.

  13. Compliance and Reporting:

  14. Ensure that the AP department adheres to all internal controls and compliance requirements.

  15. Prepare and analyze AP-related reports, including aging reports, payment forecasts, and month-end close reports.

  16. Assist in internal and external audits by providing documentation and explanations as needed.

  17. System Management:

  18. Oversee the maintenance and updates of the accounts payable systems, including software and automation tools.

  19. Identify and implement process improvements to enhance efficiency and accuracy in the AP department.

  20. Cross-functional Collaboration:

  21. Collaborate with other departments, such as purchasing, finance, and treasury, to resolve issues and streamline processes.

  22. Work with the finance team to ensure accurate recording of expenses and proper allocation of costs.

  23. Other Duties:

  24. Assist with special projects as assigned by the finance manager or controller.

  25. Stay updated on industry best practices and trends in accounts payable management.

qualifications:

Qualifications:

  • Education: Bachelor's degree in accounting, finance, business administration, or a related field.

  • Experience: Minimum of 3-5 years of experience in accounts payable, with at least 2 years in a supervisory or leadership role.

  • Skills:

  • Strong leadership and team management skills.

  • Excellent communication and interpersonal skills.

  • Proficiency in accounting software (e.g., SAP, Oracle, QuickBooks) and Microsoft Office Suite (especially Excel).

  • Detail-oriented with strong organizational and time management skills.

  • Ability to handle multiple tasks and meet deadlines.

  • Knowledge of accounting principles and practices.

Preferred Qualifications:

  • Experience with automated AP systems.

  • Certified Accounts Payable Professional (CAPP) or similar certification.
