Ithaca College GIFT AND INFORMATION DATA RECORDS SPECIALIST in Ithaca, New York

Job Summary:

The Gift and Data Records Specialist ensures that donor and constituent records and correspondence are maintained in compliance with gift guidelines and Division of Advancement policies. The Gift and Data Records Specialist is responsible for adding and maintaining biographical data, pledges and gift processing activities within Ithaca College’s alumni and development system (Raiser’s Edge NXT) in accordance with industry best practice. They support critical business needs through the use of automated tools and processes.  They are responsible for researching, entering, verifying and updating data, correcting data inconsistencies and generating clean-up lists; manual data entry is required. Maintain confidentiality of database records in accordance with Ithaca College’s policies.

Job Responsibilities:

  • Gift Processing

  • Primary responsibility for accurate gift and pledge entry of cash, checks, stock/securities, and gifts-in-kind in the alumni and development system (Raiser’s Edge) while adhering to Ithaca College’s policies, CASE standards and the IRS.

  • Track and confirm matching gift process.

  • Support activities related to the gift acknowledgment and tax receipt production process.

  • Maintain files for gift source documentation as required by the IRS, internal audit and external audit requirements.

  • Understand and be a resource to the Division of Advancement regarding the monthly payroll deduction process.

  • Understand and be a resource to Ithaca College’s security/stockbrokers, faculty and staff members to ensure timely and accurate gift processing of securities’. Research, track and maintain Stock gift processes when applicable.

  • Maintains a secure and up-to-date environment for incoming stock, electronic funds, credit card and online gifts, and communicate with organizations involving those gifts when necessary. Practice proper cash handling procedures.

  1. Biological Records
  • Significant responsibility for accurate data entry of biographical information within the alumni and development system, in particular, researching and verifying obituary information, biographic, degree, employment and address information in the Raiser’s Edge database.

  • Collect, organize, research, process and verify data for alumni, parent, foundation, corporation and other records in compliance with institutional policies and CASE guidelines.

  • Works with Advancement Services team on special data projects to ensure the accuracy and completeness of donor constituent records

  1. Data Integrity
  • Reconcile batches

  • Identify and correct data inconsistencies and generate clean-up lists identifying data to be updated. Notify the Advancement Services team when errors occur.

  • Ensure incoming requests for information to others in the organization, donors, volunteers, and others are responded to in a positive and timely manner.

Qualifications:

  • An Associate’s Degree or the equivalent combination of education and experience is required

  • A minimum of 3 years of experience in data-entry

  • Knowledge of computer technology, including Microsoft Outlook, OneDrive, Word, Excel, and Internet browsers

  • Previous experience working with databases and Customer Relationship Management software preferred

  • Strong attention to detail

  • Demonstrated organizational skills, customer service orientation with an ability to prioritize, manage, and complete multiple tasks under time sensitive deadlines

  • Must be able to handle confidential materials with sensitivity and discretion

  • Able to work in an independent and team environment

This position is 37.5 hours per week, 52 weeks per year.

Hiring Range:

$19.00 to $20.50 per hour, commensurate with qualifications and experience.
