Department and Position Background

Cornell University, a nationally ranked Ivy League institution, is looking for an Advancement Services Records Specialist to join the Alumni Affairs & Development division in Ithaca, NY.


The Advancement Services team serves as subject matter experts in records management and provides essential infrastructure services and support to all of AA&D. Our work is guided by adherence to CASE and IRS guidelines for all gift and gift commitment entry, as well as industry best practices.


Reporting to the Assistant Director of Records Management, the Advancement Services Records Specialist will be part of a larger records management team responsible for processing gifts, memberships and biographical data for all university constituents. This position works closely with colleagues across the division regularly, as well as other campus partners when the need arises.AA&D receives a high volume of gifts in various forms. This role will use sound judgement to make accurate determinations regarding appropriate account/designations, and processing and reconciling the gift data after entry. In addition, we receive a high volume of biographical data/updates from various sources. This role will assist in the accurate, timely entry of this information into the database to ensure the highest level of data integrity.

Required Qualifications

  • High School Diploma and a minimum of 2-4 years relevant experience or equivalent combination
  • Passionate about working in an organization that values and promotes diversity, equity, inclusion, anti-racism, and wellbeing.
  • Experience in database entry and/or data quality assurance
  • Effective verbal and written communications skills
  • Strong technology acumen, including advanced Microsoft Office Suite
  • Proven experience in high volume, mission critical gift/data processing
  • High level of attention to detail and accuracy
  • Ability to maintain confidentiality, and to exercise sound judgement, tact, and discretion
  • Ability to work independently and collaboratively
  • Experience in and/or demonstrated commitment to supporting diversity, equity, access, inclusion, and wellbeing.
  • Ability to cultivate and develop inclusive and equitable working relationships with students, faculty, staff, and community members.

This position is based in Ithaca, NY with a hybrid work arrangement. The final candidate will be expected to work on-site at least 2 days per week with the ability to work remotely within a commutable distance up to 3 days per week.
