AAD fosters vibrant, lifelong alumni engagement of Cornell University's 250,000 + alumni, through a variety of programs.


The College of Arts & Sciences is reimagining the liberal arts model of education. The AA&D team within the college of Arts & Sciences is tasked with helping highlight the impact of a liberal arts education while seeking support for future students.

The Opportunity


Are you a detail-oriented professional with a proven event experience and a passion for fostering alumni relationships and supporting meaningful engagement activities? Join our dynamic team as an Administrative Assistant in the College of Arts & Sciences (A&S) Alumni Affairs and Development (AA&D). This role is essential in providing administrative and program support to the Director of Alumni Engagement and contributing to the overall success of alumni engagement initiatives.


Key Responsibilities


Event Planning and Execution:

  • Provide logistical support and assist with planning, execution, and follow-up for campus, regional, and virtual events.
  • Coordinate volunteer activities, manage communication efforts, and maintain data integrity for alumni engagement.
  • Serve as the primary contact with campus and external vendors for event logistics.
  • Arrange travel plans, including schedules and itineraries, for faculty and alumni.

Communication Support:

  • Create and monitor communication checklists for broad communications, newsletters, and event-related emails.
  • Respond to complex email, telephone, and walk-in inquiries; serve as a reference for policies and procedures.
  • Schedule and send event-related communications using iModules, Outlook, and print media.
  • Will provide key support as we shift to using Sales Force Marketing Cloud.

Data Management and Integrity:

  • Maintain data integrity regarding constituent correspondence, event attendance, volunteer and other engagement activities and interactions.
  • Generate and analyze complex data reports, create spreadsheets, and develop databases from various information systems.

Engagement Officer Support:

  • Provide administrative support to the Director of Alumni Engagement, including coordinating staff travel and processing reimbursements.
  • Maintain accessible filing systems and provide calendar support for committee work and engagement efforts.

Next Generation Alumni Engagement

  • Partner in helping identify and execute programs that help A&S engage the next generation of alumni donors.
  • Analyze and report on program effectiveness through detailed data analytics.
  • Identify unengaged alumni and friends and help implement strategies for meaningful engagement.

General Office Support:

  • Facilitate shared duties for key AA&D/A&S events and initiatives.
  • Communicate regularly with faculty, staff, alumni, and key constituents of the College.
  • Perform general office support tasks, including mail distribution and preparation of fiscal documents.

Other Responsibilities:

  • Participate in university training programs and stay current with emerging technologies relevant to the position.
  • Contribute ideas and recommendations to further departmental goals.
  • Take on additional projects and duties as assigned.

What We Need


All applicants must include a cover letter for full consideration.

  • Associate's degree and 2 to 4 years relevant experience, or and equivalent combination of education and work experience.
  • Proven experience in planning and implementing successful events.
  • Computer literacy, proficient with Windows software packages and databases.
  • Strong interpersonal skills, effective communication skills and collaborative and appropriate telephone and in person demeanor.
  • Excellent writing, proofreading and editing skills.
  • Strong organizational skills with the ability to manage and prioritize multiple projects/assignments, work under pressure and meet competing and established deadlines.
  • Able to maintain a high degree of confidentiality.
  • Ability to work occasional evenings and weekends.
  • Ability to work well with others across various communication channels.
  • Ability to provide excellent customer service across diverse constituencies within the division, the University, and with our alumni audience.
  • Ability to cultivate and develop inclusive and equitable working relationships with students, faculty, staff, and community members.
  • Experience in and/or demonstrated commitment to supporting diversity, equity, access, inclusion, and wellbeing.

  • Proven experience supporting the work of Director level staff.
  • Experience with event planning and/or engagement support for institutions of higher education.

  • This position is eligible for a hybrid work arrangement. Employees typically perform this role remotely 2 days per week and in the office 3 days per week. The university reserves the right to modify, suspend, revoke or terminate the hybrid work arrangement at any time.
