Robert Half Office Assistant in Irvine, California

Description We are offering a contract employment opportunity for an organized Office Assistant in Irvine, California. In this role, you will perform various administrative tasks, interact with clients and customers, and assist in scheduling meetings and travel arrangements for the management team.

Responsibilities:

• Organize and maintain files and records, updating when necessary.

• Create and maintain updated documents and spreadsheets.

• Assist with answering, screening, and forwarding incoming phone calls.

• Provide information in response to inquiries about services to clients and customers.

• Assist in scheduling meetings, appointments, and travel arrangements for the management team.

• Handle office tasks, such as filing, generating reports and presentations, and setting up for meetings.

• Maintain supply inventory by checking stock to determine inventory levels, anticipating needed supplies, placing and expediting orders for supplies, and verifying receipt of supplies.

• Provide real-time scheduling support by booking appointments and avoiding conflicts.

• Use computers to generate reports, create presentations, and conduct research.

• Perform clerical duties and administrative assistance as needed. Requirements • Minimum of 2 years experience in an office assistant role or related position

• Proficiency in Microsoft Office Suites including Microsoft Excel, Microsoft Outlook, and Microsoft Word

• Familiarity with office functions and administrative assistance tasks

• Experience with 'About Time' software or similar time management tools

• Knowledge of billing functions and general clerical duties

• Ability to manage correspondence professionally and efficiently

• Excellent customer service skills with a focus on responsiveness and reliability

• Ability to perform multitasking and prioritize work

• Strong organizational skills with keen attention to detail

• Excellent written and verbal communication skills

• High school diploma or equivalent education level

• Willingness to learn and adapt in a fast-paced environment.
