FirstService Residential Administrative Assistant in San Diego, California

Job Overview:

The Administrative Assistant is responsible for all systems, processes and procedures relating to compliance issues for the governing documents for The Legend. The ideal candidate will be a direct support to the GM.

Compensation: $21 - $22 an hour

FirstService Residential will compensate the successful candidate in accordance with the posted range. The salary or wage paid to the successful candidate will be commensurate with experience, education, and specific job responsibilities. For positions designated at a client's property, the salary or wage will also be premised upon the client's directive. The base pay range is subject to change and may be modified in the future.

Job Responsibilities:

  • Attend and Prepare Board Meeting agendas.
  • Prepare Board Meeting minutes.
  • Prepare and maintain Action List.
  • Prepare and send correspondence as directed by General Manager.
  • Manage the Association’s email “opt-in” list.
  • Provide administrative support as needed and as requested by General Manager.
  • Manage association mass mailings and update website as needed with any correspondence with community.
  • Be trained on the IAS system.
  • Production of reports using Jenark software, connect,
  • Train and prepared to fill in for Spa or Fitness Desk, Member Services, Activities and Events as needed. Work on Pos System when needed.
  • Other duties as assigned.

  • Ability to apply common sense and carry out instructions.

Education & Experience:

  • High School Diploma or equivalent.
  • 2 years’ experience in a professional office environment.
  • Strong written and verbal communication skills.
  • Working ability of general math skills.
  • Working knowledge of MS Office suite – including Word, Excel, PowerPoint, Outlook
  • Strong attention to details.
  • Self-motivated.
  • Organized and Detail Oriented.

  • Hours over and above normal office hours may occur from time to time.
  • Consistent and regular attendance required
  • Full time non-exempt position
  • Normal schedule to be determined based on needs of the clients and community needs
  • There will be occasions when it is necessary to work various evenings, weekends, and holidays

Tools & Equipment Used:

  • Valid Driver’s License and proof of state mandated auto insurance.
