Description

Partnered with a company, Robert Half is looking to fill an Executive Assistant role for a senior leaders and C-Suite individuals. The Executive Assistant will be in charge of maintaining a wide range of administrative duties. You will have the opportunity to put your talents to the test in a busy and engaging environment. This Executive Assistant role is located in the Indianapolis, Indiana area and is a long-term contract / temporary employment opportunity.

  • Administrative Support: Provide high-level administrative support to executives by managing schedules, coordinating meetings, arranging travel plans, and handling correspondence.

  • Calendar Management: Efficiently manage executive calendars, including scheduling appointments, prioritizing meetings, and ensuring timely reminders.

  • Communication Liaison: Serve as a primary point of contact for internal and external communication, screening calls, responding to inquiries, and directing messages appropriately.

  • Document Preparation: Prepare and edit correspondence, reports, presentations, and other documents as needed, ensuring accuracy and professionalism.

  • Project Coordination: Assist in the coordination and execution of special projects, including research, data analysis, and presentation development.

  • Meeting Coordination: Organize and facilitate meetings, including preparing agendas, taking minutes, and following up on action items to ensure deadlines are met.

  • Travel Arrangements: Coordinate travel logistics, including booking flights, accommodations, transportation, and preparing itineraries for domestic and international travel.

  • Expense Management: Manage expense reports, track receipts, reconcile credit card statements, and ensure compliance with company policies and procedures.

  • Confidentiality: Maintain strict confidentiality and discretion in handling sensitive information and documents.

    Requirements

  • Proven Experience: Minimum of 5 years of experience as an executive assistant or in a similar administrative role, supporting senior executives or leadership teams.

  • Organizational Skills: Exceptional organizational and time-management skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment.

  • Communication Skills: Excellent verbal and written communication skills, with the ability to interact professionally with executives, colleagues, clients, and external stakeholders.

  • Attention to Detail: Meticulous attention to detail and accuracy in all aspects of work, including document preparation, scheduling, and data management.

  • Problem-Solving Ability: Strong problem-solving skills, with the ability to anticipate needs, identify issues, and propose solutions proactively.

  • Technical Proficiency: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with calendar management software and other office tools.

  • Discretion and Integrity: Demonstrated ability to maintain confidentiality, exercise discretion, and uphold the highest standards of integrity and professionalism.

  • Adaptability: Flexibility and adaptability to handle changing priorities and responsibilities with a positive attitude and a willingness to learn.

  • Bachelor's Degree: Bachelor's degree preferred, but not required, depending on relevant experience and skills.

  • Availability: Ability to work flexible hours when necessary and occasionally travel with executives as needed.

  • Team Player: Strong interpersonal skills and the ability to work effectively both independently and as part of a team.

  • Resourcefulness: Proactive and resourceful problem solver, with the ability to work independently and take initiative to complete tasks with minimal supervision.
