Goodwill of Central and Southern Indiana Administrative Support Specialist- Facilities in Indianapolis, Indiana

This position is full-time and the general range is $18-23 per hour including full benefits (below):

The Facilities Support Specialist provides administrative support to the Facilities Team in the areas of work order reconciliation, accounts invoicing, and performing customer service liaison activities. This role helps review, assign, and coordinate the daily maintenance work order system, providing services to all the facilities operated by Goodwill of Central and Southern Indiana. The Specialist ensures prompt and accurate data entry and retrieval through the department's Computerized Maintenance Management System (CMMS). The Specialist ensures proper closeout of completed work orders, as well as processes and codes contractor invoices.

*Example Duties and Activities*

  • Plans and organizes the Facilities' office environment including maintaining a clean and orderly office area, organizing and maintaining all files, managing and ordering office supply inventory, ensure office equipment is in proper working order.

  • Answers the main Facilities phone line and directs through appropriate channels to resolve customer issues.

  • Enters and retrieves data as work orders through the department CMMS. Closes out completed technician and contractor work orders timely.

  • Reviews and approves vendor and supplier invoices and department purchases. Processes and codes contractor invoices and purchase orders, as well as tracks open purchase order approval process.

  • Makes necessary utility transfers for new facilities.

  • Plans, organizes and manages activities related to the procurement function for parts, equipment, and company supplies for facilities maintenance inventory. Identifies common MRO parts and consumables.

  • Evaluates market and delivery conditions to ascertain present and future material availability, and prepares market analysis reports. Analyzes price proposals, financial reports, and other data and information to identify reasonable prices.

  • Identifies, defines, and evaluates physical inventory storage space to ensure efficient utilization of space.

  • Develops a system to evaluate vendor quotations that utilize appropriate negotiation and purchasing techniques to ensure quality, price, delivery, and service.

  • Negotiates, renegotiates and administers contracts with suppliers, vendors, and other representatives. Maintains effective vendor and customer relationships.

  • Demonstrates continuous effort to improve operations, decrease turnaround times, streamline work processes and work cooperatively and jointly to provide quality seamless customer service.

  • Reviews and approves invoices for project implementations and equipment purchases.

  • Reconciles credit card field purchases.

  • Cross-trains and assists in other areas to build skill base and value within the department.
