  • Office Management: Maintain office efficiency by organizing and coordinating administrative operations and procedures, ensuring smooth workflow and effective communication within the office.

  • Correspondence Handling: Handle incoming and outgoing communications, including phone calls, emails, and mail, and route them to the appropriate parties for response or action.

  • Document Preparation: Draft, proofread, and edit correspondence, reports, presentations, and other documents using word processing, spreadsheet, and presentation software.

  • Record Keeping: Maintain and update electronic and physical filing systems, databases, and records, ensuring accuracy, organization, and accessibility of information.

  • Meeting Coordination: Coordinate and schedule meetings, prepare meeting agendas, take minutes, and distribute materials, ensuring effective communication and follow-up on action items.

  • Office Supplies Management: Monitor office supply levels, place orders for supplies as needed, and ensure efficient utilization and cost-effectiveness of office resources.

  • Visitor Management: Greet visitors, answer inquiries, and direct them to the appropriate individuals or departments, providing a professional and welcoming first impression of the organization.

  • Administrative Support: Provide administrative support to executives and team members, including photocopying, scanning, faxing, filing, and other tasks as assigned.

    Requirements

  • Administrative Experience: Minimum of 2 years of experience in an administrative support role, preferably in a corporate or office setting.

  • Organizational Skills: Excellent organizational and multitasking abilities, with the capacity to prioritize tasks, manage time effectively, and meet deadlines in a fast-paced environment.

  • Communication Skills: Strong verbal and written communication skills, with the ability to interact professionally with executives, colleagues, clients, and external stakeholders.

  • Attention to Detail: Meticulous attention to detail and accuracy in all aspects of work, including document preparation, data entry, and record keeping.

  • Problem-Solving Ability: Proven problem-solving skills, with the ability to anticipate needs, identify issues, and propose solutions independently and collaboratively.

  • Technical Proficiency: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office software, as well as familiarity with office equipment and technology.

  • Discretion and Confidentiality: Demonstrated ability to handle sensitive and confidential information with discretion, maintaining the highest standards of confidentiality and professionalism.

  • Customer Service Orientation: Customer service mindset with a friendly and approachable demeanor, providing assistance and support to internal and external stakeholders with professionalism and courtesy.

  • High School Diploma or Equivalent: High school diploma or equivalent education required; additional education or training in office administration or related field is a plus.

  • Adaptability: Flexibility and adaptability to handle changing priorities, tasks, and responsibilities with a positive attitude and willingness to learn and grow in the role.
