Mercury Systems Executive Administrator in Huntsville, Alabama
Mercury Systems seeking a motivated professional to contribute to the efficient running of Mercury’s Executive Leadership Team directly supporting one of our EVPs and at times may support multiple leaders in the organization including business/functional VPs and Senior Directors. This role is based in Huntsville, AL and required to maintain Senior Executives’ complex calendars, schedules, and travel plans. In this position an organized and talented Executive Administrator Professional can demonstrate their skills and capabilities while learning and developing in the role. The person filling this position will utilize communication skills (written and oral) that supports the level and requirements of the office(s) he/she supports as well as demonstrate the appropriate Mercury Values, Mindsets and Behaviors. Additionally, the selected candidate will utilize computer skills (MS Office suite including MS Teams) to generate work product in the most efficient and effective way with the highest level of quality. The selected candidate will develop a network inside of the organization that will ensure work assignments are shared with the appropriate parts of the Company, treating information as sensitive and confidential, and will demonstrate a high-level of professionalism in all interactions inside and outside of Mercury Systems, acting independently, as needed. This position will partner with a peer and site Security, also seated in the Huntsville location, to ensure appropriate support is provided for customer and/or supplier visits, office supplies are ordered timely and coordinating with the Site Leader for engagement activities, et al. Job Responsibility: * Maintains Senior Executives’ complex calendars, schedules and domestic and international travel arrangements to ensure minimal conflicts. * Maintains strict confidentiality as this role will be involved in dialog and oversee creation and review of material that is highly sensitive. * Manages facilities and equipment to troubleshoot and problem solve for staff in various aspects (office equipment, building management issues). * Orders and maintains office supplies and inventory for the department and creates purchase orders, process invoices and acts as the liaison between the company and vendor. * Prepares expense reports and ensures reports are submitted timely and accurately. * Provides general office orientation for new staff members to ensure proper introductions are met. * Involved in scheduling and organizing communications and related materials for various team sites. * Observes time sensitive and confidential materials, and prepares correspondence to ensure timely production of memos, letters, emails and presentations while following company and departmental policies and procedures. * Reserves conference rooms and makes any other arrangements for the specified meeting and to ensure Senior Executives are prepared with the necessary materials for meetings. * Sets up and organizes paper and electronic filing systems to ensure company compliance. * Works with leaders to create and edit presentations, communications (including website content management, letters, memos, PowerPoint presentations, etc) and other documentation across a variety of topic areas. * Participates in complex and company-wide project activities with little to no direction from the manager and ensures the work is completed accurately and timely. * Provides technical / advanced executive administrative support of multiple leaders using independent judgment, observes time sensitive and confidential materials, and prepares correspondence while following company and departmental policies and procedures. * Acts as a back-up to other executive assistants to ensure proper coverage is provided. * Provide site support for key events as well as order supplies * Shared responsibilities for customer/supplier visits * Conducts the planning, coordination, scheduling, and reservation setting for various events and off-site meetings (domestic and international) as may be required by the business. Required Qualification: * 5+ Years of work experience providing administrative support to executive management * Demonstrated ability to work in a fast-paced environment, managing multiple projects and priorities; with keen attention to detail * Strong interpersonal skills with the ability to build rapport with individuals of all levels * Highly organized and efficient with proven ability to time management and prioritization skills * Proficient in Microsoft office to include Excel, PowerPoint, and Word; Basic analysis of data and working knowledge of collaboration tools, web interface, intranet, internet, word-processing, spreadsheets, and presentations * Ability to work on multiple projects and tasks simultaneously, tolerate ambiguity; work well with others and resolve problems in a timely and professional manner * Excellent written and oral communication skills, including excellent phone skills and the ability to maintain confidences Preferred Qualification: * Bachelor's Degree desired Physical Demands/Working Conditions: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
