Job Summary The Project Coordinator position is responsible for completing administrative work for Irby Utility Project Services Group (PSG). The Project Services Group (PSG) packages construction materials for transmission and/or substation utility projects with utility contractors, E.P.C firms and renewable energy developers. The position will support the project managers by completing required tasks in the project execution phase. This support includes all after sales responsibilities: order entry, expediting, preparing submittals, load customer pays apps, and project file management. The support goal is to enable project managers and estimators to focus on customer needs by performing the following duties: Essential Duties & Responsibilities Practice positive professional and interpersonal relations, using tact, courtesy, and personal accountability toward customers and co-workers, and acts as a representative of goodwill on behalf of the company at all times. Enter orders on suppliers in the Irby Solar Eclipse ERP system. Interfaces with the job management and project tracking systems to take ownership and complete assigned tasks. Expedite materials from suppliers to meet required on-site dates. This includes an ability to understand when to escalate and order expedite. Resolve customer order problems and complaints promptly. Acquire, utilize and continuously develop personal technical knowledge of general and specialty merchandise items to assist customers and other company personnel. Prepare quotations for customers where applicable. Identify, use and maintain appropriate company and/or customer pricing systems. Utilize tools used by the Project Services Team to organize opportunities, manage the project in the system, and insure payment. Minimum Qualifications Exceptional communication skills: written, verbal, presentation, and negotiation Ability to meet deadlines and how to escalate when required Proficiency with MS Office (Word, Excel, & PowerPoint) and adobe Technical learning: quick study on using technology in support of sales process A team player in dealing with internal and external stakeholders Preferred Qualifications Preferred minimum 3 years industry or distributor sales experience is desired.
