Job Summary and Qualifications

The Manager of Medical Staff Services assists the Director of Medical Staff Services with implementation of and compliance with credentialing initiatives/processes. The incumbent is expected to maintain a working knowledge of applicable HCA Healthcare and Parallon Credentialing Processing Center (CPC) policies, accreditation standards and regulations associated with medical staff services, and play a key role in the integration of HCA Clinical Strategies and HCA systems. At the direction of the Director of Medical Staff Services, the Manager of Medical Staff Services will:

  • · Monitor implementation and progress of credentialing and data integrity projects within the facility. · Maintain accurate and complete credentialing profiles on the members of the Medical Staff ensuring all necessary and required reviews, evaluations, and approvals.

  • · Foster a collaborative working relationship between the Medical Staff, Administration, CPC staff and COG/Professional Practice Advancement (PPA) personnel, Information Protection & Security and key internal stakeholders.

  • · Facilitate, support, and attends Medical Staff Department and Committee meetings.

  • · Maintain current hospital Emergency Call Rosters.

  • · Maintain current medical staff, committee and department rosters.

  • · Coordinate efforts to develop processes that support sharing of best practices.

  • · Provide orientation to new Medical Staff and Advanced Practice Professional staff.

  • · Advocate for the mission and goals of HCA Houston Healthcare Kingwood.

  • · Be a subject matter expert on the Medical Staff Bylaws, Credentials Policy, Rules and Regulations and Organizational Manual for leadership and the Medical Staff as needed.

RESPONSIBILITIES & JOB FUNCTIONS:

HCA HEALTHCARE SYSTEM COORDINATION AND COLLABORATION

    1. Attend initial orientation from the CPC and HCA’s Professional Practice Advancement department.
    1. Maintain an acute awareness and accurate interpretation of the HCA Healthcare credentialing policies and procedures.
    1. Read and be familiar with the HCA Healthcare Model Medical Staff Governance Documents (e.g., bylaws, credentials policy and organization manual), the PPE Manuals, and other model medical staff policies, and support the facility’s medical staff in their review and adoption.
    1. Read and be familiar with facility Medical Staff Governance Documents (e.g., bylaws, credentials policy and organization manual) to understand where they may differ from the HCA Healthcare models.
    1. Support facility adoption of template Medical Staff Services Department policies.
    1. Be familiar with CPC policies as they impact the facility’s MSSD.
    1. Read and act on announcements and alerts from the CPC, including: i. Expirable credentials notifications ii. Dynamic flag alerts iii. Notices of changes or updates to Cactus, or CPC procedures.
    1. Read and act on the weekly information from HCA’s Professional Practice Advancement department (e.g., Answer of the Week, Important Updates, and other announcements).
    1. Participate in monthly “Village” calls.
    1. Facilitate development, implementation and maintenance of standardized delineation of privileges.
    1. Support facility management of the vetting of Tier 3 Dependent Health Professionals (DHPs) in accordance with COG.PPA.003 by facilitating the review of qualifications/competencies by the appropriate physician leader.
    1. Liaison with corporate, Division, and facility Disaster Management teams to expedite requests for practitioners.
    1. Support facility level request and approval documentation to support the Disaster credentialing processes.
    1. Ensure that facility Medical Staff Services operations conform to local, state, and federal governmental regulations as well has HCA Healthcare policy, as needed.

ACCREDITATION, REGULATORY COMPLIANCE AND QUALITY

    1. Assist facility in preparation for accreditation, regulatory, and any internal surveys relative to credentialing, privileging and PPE.
    1. Participate in internal audits and regulatory surveys, as needed.
    1. Coordinate with the CPC for requests of additional documentation from surveyors.
    1. At the discretion of the Medical Staff Services Director, and in collaboration with the Vice President of Quality ensure that facility peer review activities and functions are handled in accordance with state specific peer review protections.
    1. Coordinate utilization of the Practitioner Excellence dashboard, PPM, and intramural peer reviews functions (i.e., tracking, and data aggregation) in the required performance of FPPE and OPPE.
    1. At the direction of the Medical Staff Services Director, perform audits pertaining to the completeness of credentialing records of privileged and non-privileged practitioners.
    1. Monitor facility adherence to database standardization initiatives (i.e., clinical information governance specialty, practice area, etc.).
    1. Analyze and monitor facilities’ Medical Staff Services performance metrics and facilitate development and leadership review and approval of corrective action/performance improvement plans to address deficiencies.
    1. Monitor compliance with applicable HCA Healthcare Ethics and Compliance policies
    1. Develop reports, queries and documents when requested to support Division requests.
    1. Identify and voice process improvement opportunities that affect local credentialing, privileging or PPE processes.
    1. Assist Medical Staff Services Director with review of and follow-up on a practitioner request for consideration (RFC) or recredentialing request for consideration (RRFC) when a Type 2 flag has been issued or a facility requests assistance in determine whether a practitioner meets threshold eligibility criteria or development of a monitoring plan.

What qualifications you will need:

EDUCATION: Bachelor’s degree in medical staff services science, business, or related field of study or an equivalent combination of training and experience required.

CERTIFICATE/LICENSE: Certified Provider Credentialing Specialist at time of hire or within 1 year.

EXPERIENCE: Minimum of 3 years comprehensive credentialing experience in an acute care hospital or CVO setting. Minimum of 1 years supervisory/management experience preferred.
