MD Anderson Cancer Center Diagnostic Services Coordinator / Interventional Radiology in Houston, Texas

SUMMARY

The primary purpose of the IR Diagnostic Service Coordinator position is to provide personal and professional care to MDACC patients who enter the Interventional Radiology area of care and services. DI Service Coordinators are responsible for coordinating and scheduling all Interventional Radiology appointments.

Shift / Hours: Monday - Friday / 7:30am - 5pm / possible future weekend rotation

JOB SPECIFIC COMPETENCIES

Interventional Procedural Scheduling and Patient care coordination

•Knowledgeable of all aspects of the EPIC, HI-IQ and ClinicStation systems. Able to utilize these systems to schedule patients, order labs and any required patient appointments.

•Demonstrates competency in review IR requisitions, patient records/imaging to correlate with requested procedures.

•Demonstrates proficiency in scheduling IR procedures according to IR Standard Operating Procedures.

•Reviews ordered and available lab values and communicates information to appropriate personnel.

•Able to retrieve patient documents/reports according to established protocols.

•Efficient and knowledgeable in preparing all necessary documents of IR Pre-Procedure Evaluations and IR Scheduled appointments.

•Properly scheduled appointments into the proper resources and updates daily schedule accordingly.

•Reviews scheduling templates for assigned area to ensure scheduling accuracy and maximum appointment availability.

•Uses scheduling manual to ensure that all procedures are scheduled according to established protocols. Scheduling appointments efficiently and accurately to maximize procedure available resources.

•Able to process outside referrals and inputs necessary insurance information into Institutional EPIC system as assigned.

•Demonstrates ability to retrieve necessary lab values for all scheduled procedures. Verifies lab orders and enters appropriate tests into system as appropriate.

•Responsible for verifying admission orders and able to input on-line admission orders when necessary.

•Knows how to report problems to appropriate personnel and monitors the situation until the problem has been resolved.

•Ensures studies are read, available in a timely manner.

•Coordinates and schedules anesthesia and consultation appointments per established scheduling protocols.

•Reports scheduling delays and resource limitations to the IR Manager.

•Interpret and coordinate physicians' orders to schedule appropriate procedures. Communicate with physicians, physician assistants, nurses and technologist for the purpose of add-on scheduling, callbacks, reschedules and emergencies.

•Uses critical thinking skills to prioritize requisitions and procedures to ensure accurate and timely scheduling of all appointments.

•Clearly and accurately, convey appointment information to patients in a timely manner in person and/or by telephone. Provides patients with correct information regarding their schedule and the preparations needed for IR procedures.

•Assist in transportation issues, including but not limited to calling for inpatients, non-ambulatory patients and special needs to ensure proper flow.

•Utilize critical thinking to make decisions regarding coordination of patient care within the approval ranges set by physicians and managers all contingencies.

•Make appropriate arrangements to accommodate emergency and special need patients

Communication and Customer Service Skills

•Serves as a liaison between IR faculty and outside clinical staff. Uses appropriate customer service skills when interacting with all internal and external customers. Directs necessary information in the appropriate manner.

•Demonstrates ability to provide clear, accurate and complete information to patients, faculty and other clinical staff.

•Communicates with primary and referring teams regarding the status of patient appointments to ensure continuity of care and a high level of customer service.

•Handles phone calls promptly and in a professional manner. Follows up to ensure that procedures are completed thoroughly.

•Communicates pertinent issues to administration, faculty and staff in a dialogue to ensure maximum service to patients and staff.

•Exhibits and maintains a high level of customer service when communicating with referring services, patients and all members of the Interventional Radiology team.

•Communicates in a professional manner that promotes a cohesive team environment.

•Provides a comprehensive hand-off to colleagues at end of shift or during periods of relief.

QA/Compliance, Programs, Policies and Procedures

•Knowledgeable and adheres to current DI and MDACC policies.

•Performs quality check of procedure guidelines upon completion of to ensure accuracy.

•Strictly adheres to Patient Identification and HIPAA policies.

•Wears name badge daily as part of MDACC dress code. Acts and dresses in professional manner.

•Reports to work at appropriate scheduled time on a daily basis, meeting divisional standard of 5 minutes.

•Use appropriate form to request vacation, sick and holiday leave. Meets institutional policy of attendance

•Knowledgeable adhere to all Joint Commission policies as they apply.

•Actively participates in Interventional Radiology Joint Commission in-services and completes Irounds.

•Regularly attends departmental meetings as required

Education Required: High school diploma or equivalent.

Preferred Education: Bachelor's Level Degree

Experience Required: Four years of relevant work experience to include two years in a healthcare or medical environment. May substitute additional education for required experience on a one to one basis.

Preferred Experience: To years experience in a health care setting with preferred education and experience in oncology
