KBR’s corporate Marketing Team is seeking a highly organized and detail-oriented Marketing Support Specialist to join our highly creative and best-in-class team. This individual will provide vital administrative support, ensure smooth operations within the department, and play a key role in managing major global vendors and project schedules. Based in Houston, Texas, the Marketing Support Specialist will work closely with the Director of Global Marketing and team members worldwide.

Roles and Responsibilities

Administrative Support

• Coordinate and book domestic and international travel, passports & Visas for the Global Marketing team.

• Manage expense reports and ensure compliance with company policies.• Oversee and maintain departmental calendars, including scheduling meetings and coordinating logistics.• Assist with the preparation of presentations, reports, and other documentation.Financial Support• Create purchase requisitions and monitor purchase orders to ensure funding and tracking of expiration dates.

• Track and process invoices, ensuring timely payments to vendors.• Monitor and report on departmental budgets and expenses.• Work closely with the finance team to reconcile accounts and maintain accurate records.Vendor Management

• Serve as the primary point of contact for vendors, including the company’s merchandise vendor and print vendors.

• Oversee vendor performance to ensure quality and adherence to contractual agreements for conferences and events.

Project Management• Support the scheduling and project management of the corporate marketing team’s global initiatives.• Track project timelines and deliverables, ensuring deadlines are met.• Collaborate with team members to streamline workflows and improve operational efficiency.General Support• Serve as a resource to team members for administrative tasks, tools, and resources.• Maintain department records, files, and databases.• Assist in organizing team lunches, events and meetings, including offsites and conferences.Qualifications and Skills

• A minimum of 5 years of experience in administrative or relevant support roles.• Strong organizational and time-management skills with exceptional attention to detail.• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and project management tools.• Experience with travel coordination, financial tracking, and vendor management is a plus.• Ability to handle multiple priorities in a fast-paced environment.• Excellent communication and interpersonal skills.• Professional demeanor with a proactive and solution-oriented mindset.This role offers the opportunity to work alongside a dynamic global team, contributing to impactful marketing and communications initiatives.
