MD Anderson Cancer Center Communications Program Manager - Fac Mgt Employee Programs in Houston, Texas

Ideal candidate will hold a bachelors degree, corporate communications background understanding deadlines, experience with Sharepoint, hosting conferences/town halls, copyright/editor experience and working with high level executives.

The primary purpose of the Program Manager, Facilities Management Employee Programs, is to develop, manage, execute and measure divisional employee programs, employee recognition programs and employee communication activities for the Facilities Management division. The Program Manager also leads the policy development and publication process for the division, serves as a point person for FM Portal content, serves as the internal communications liaison for the division, manages onboarding orientation for all of FM with specialized training for internal housekeeping staff and gives input/oversees the development of project communication for construction projects.

JOB SPECIFIC COMPETENCIES:

New Division Employee Onboarding Program FM 365 and EVS/PCPF Onboarding Program

Manages all aspects of the FM365 onboarding program and EVS/PCPF housekeeping onboarding program. This includes supervising staff volunteers, coordinating room scheduling, planning, tracking, and reporting on program deliverables, developing program content in collaboration with all relevant stakeholders, creating all handouts and visual aids for classes, and ensuring the documentation of staff participation and feedback from participants. Works with HR Generalists and HR Talent Development groups to ensure alignment with institutional onboarding goals and best practices.

Manage Employee Communication

Serves as lead writer and editor for all division-wide FM communication, including FM News. Also supports the communication needs of the Office of the Vice President and manages communications correspondence on its behalf as requested. This includes developing language and content for FM employee messages, creating, designing, editing deliverables such as presentations, promotional materials and correspondence that targets departmental and/ or institutional audiences. Also acts as the liaison with Internal Communications team to ensure institutional communications are disseminated as appropriate.

Manage Divisional Leadership Programs

Serves as lead writer and editor for all division-wide FM communication, including FM News. Also supports the communication needs of the Office of the Vice President and manages communications correspondence on its behalf as requested. Facilitate Employee Recognition Programs

Manages FM employee recognition programs, such as Employee Service Awards and Employee of the Month. Also serves as liaison with HR Rewards and Recognition. Identifies additional opportunities for employee recognition for the division. Coordinates divisional activities as requested, including logistics and space planning, creating and distribution of agenda material, coordination of guest speakers, catering requirements, meeting announcements, invitations and notifications, preparation and distribution of meeting minutes and coordination for resolution of issues should they arise. Prepare pre- and post-event analysis, assess opportunities, and make recommendations for improving events.

Manage Institutional Event Coordination

Develop agendas with the guidance of the Facilities Management Office of the Vice President and coordinate content with presenters for divisional Town Hall Meetings (over 1,300 employees). Coordinate venue on a quarterly basis for various meetings which may be virtual or in person. Record the meeting (when virtual) and generate meeting minutes/recording after the meeting to a location where attendees may access.

Employee Programs Budget/Policy Administration/FM Portal Support

Oversees the budget for the section and helps reconcile the account. Manage the development and publication of divisional and institutional policies. Also serves as the liaison with Institutional Compliance. Leads a divisional policy and procedures committee and the policies and procedure library. Serves as Site Manager for FM Portal home page and Facilities Management Business Services site. Participates as PAC member, leads the implementation of standardized portal processes and site structure, develops and maintains sites, pages, lists, etc., within area of responsibility (ex. business unit, community, or team) helps tie business needs to Portal use, manages permissions for group sites within the area of responsibility, provides direction to content managers and others for file storage, page and site structure, suggests and assists with site and page content changes, conducts site reviews on sites within area of responsibility, instructs content managers and contributors on SharePoint and Portal Standards, triages issues from content managers to (maintain issues list), leads ongoing content manager meetings, and champions the use of the FM Portal.

Other duties as assigned.

Bachelor's degree. Five years related experience to include three years program management experience. May substitute required education degree with additional years of equivalent experience on a one to one basis. With preferred degree, three years of required experience.
