MD Anderson Cancer Center AV & Event Operations Manager in Houston, Texas

Work Schedule: 7am-4pm

Position is hybrid but will require onsite training as a new employee.

SUMMARY

Manages the daily operations and strategic growth of the institution's event scheduling and event coordinators areas under event services. Develops financial reports such as the annual budget, return on investment reports, business plans, and short and long term departmental goals and analysis of business operations relative to event scheduling and event coordination. Has oversight of the administrative and technical operations, and management of the business activities including performance standards, hiring, training, evaluating and oversight of the professional development of staff. Reviews and updates policies and procedures. Collects and analyses customer feedback to develop and implement customer service programs. Interacts and communicates with customers across organizational lines assuring delivery of quality products throughout the institution. Provides supervisory and managerial support in the management of the entire scope of event schedulers and coordinators for MD Anderson. Builds relationships with customers and constituents to increase customer satisfaction. Collects customer feedback through various data collection tools and in person focus groups to drive improvements. Oversees key information management, data systems and overall maintenance and condition of operations. Insures compliance with federal, state and local regulations including internal controls. Keeps up to date on the latest software available for efficient operations. Creates and keeps us with key performance indicators. Be the subject matter expert on the EMS system and work with other departments using it with updates and changes.

JOB SPECIFIC COMPETENCIES Personnel Management/Staff Development/Departmental Policies Provide feedback to Supervisor and event schedulers and coordinator staff, create opportunities, provide resources to staff, conduct 1:1, clear direction to staff, conduct staff meetings, goal setting, mentor and coach, evaluations, review work processes, develop efficient systems for high productivity, evaluate new software and train staff, track professional development, train staff on new processes, hold staff accountable. Ensure all required training is done as quickly as possible.

Financial Management Create annual budgets to include the zero based budget, manage budgets throughout the year and stay within acceptable variances, create short and long term strategic forecasts for all areas under management, conduct cost feasibility studies of proposed programs, purchases, etc and make recommendations, maintain knowledge of operations to schedule and coordinate events, oversee top priority events and ensure customer satisfaction, review business and master plans fo rthe department, ensure any and all revenues have been received such as monthly IDTs.

Customer Service/Communications Provide immediate and exceptional customer service to all customers, obtain customer feedback through customer surveys regarding satisfaction of products and services, facilitate focus groups when necessary, answer customer concerns and emails within 24 hours, possess the ability to work closely with others, including other departments and communicate clearly both oral and written.

Be the subject matter expert on the EMS system and communicate all updates and changes to current users

Bachelor's degree in Business Administration, Hospitality and Tourism Management, Technology, or related field. Five years of experience in conference center support, hospitality, audio visual technology, web conferencing, streaming media, or related field, to include three years of supervisory or management experience. May substitute required education degree with additional years of equivalent experience on a one to one basis. Successful completion of the LEADing Self Accelerate program may substitute for one year of required supervisory or management experience. Must pass pre-employment skills test as required and administered by Human Resources.
