Description
We are offering a contract to hire employment opportunity for an Administrative Assistant in Houston, Texas. This role is integral to our team, with a focus on supporting multiple C-suite executives to ensure smooth office operations. The successful candidate will handle a variety of tasks, from processing customer applications to maintaining accurate records and resolving inquiries.
Responsibilities:
• Conduct detail oriented and efficient handling of incoming calls, serving as the primary point of contact for vendors, employees, and clients.
• Manage the schedules of multiple executives, including arranging meetings and coordinating travel arrangements.
• Ensure an efficient and productive office environment through the organization of documents, maintenance of records, and preparation of reports.
• Handle day-to-day office tasks, such as ordering supplies, managing mail, or addressing other administrative needs.
• Maintain confidentiality and demonstrate sound judgment while acting as a liaison between the executives and internal teams.
• Prepare and manage expense reports for several executives.
• Utilize Microsoft Outlook, PowerPoint, and Word for email correspondence, executive presentations, and data entry.
• Exhibit a proactive approach to problem-solving, with a mindset that no task is too small.
Requirements • Proven experience in answering inbound calls efficiently and professionally.
• Demonstrated ability in data entry with high accuracy and attention to detail.
• Skilled in managing email correspondence, ensuring all communications are responded to in a timely manner.
• Proficient in handling both inbound and outbound calls, providing excellent customer service.
• Extensive experience in using Microsoft Outlook for email management, scheduling, and task organization.
• Proficiency in Microsoft PowerPoint for creating dynamic and engaging presentations.
• Proficient in Microsoft Word for creating, editing, and formatting documents.
• Experience in scheduling appointments, ensuring no conflicts and efficient use of time.
• Demonstrated ability in calendar management, coordinating schedules for multiple individuals or teams.
• Ability to create executive presentations, displaying information clearly and concisely.
• Experience in working with multiple executives, understanding their unique needs and preferences.
• Ability to interact professionally with high-level executives, showing discretion and maintaining confidentiality.
