Hunton Rental Solutions (https://www.hrsrental.com/) is seeking to hire a detail-oriented Administrative Assistant to support multiple areas of the Rentals business. This role involves assisting with accounts payable, billing, payroll and sales. The ideal person will work closely with the team and support where needed. Greet and welcome guests to HRS in a friendly and professional manner. This position is located in zip code: 77087.

Responsibilities Include:

  • Financials Support/Payroll support

  • Payroll entered accurately daily in software

  • Accounts Payable Support

  • Issue purchase orders for parts, supplies, and subcontractors as it pertains to rental jobs

  • Process invoices in Metaviewer

  • Provide responses to monthly Purchase Order reconciliation list for all rental purchase orders.

  • Setup and maintain vendors (provide COI, W-9, and tax exemption certificates as needed)

  • Billing

  • Support Billing & Collections Specialist in preparing invoices for posting

  • Verify all costs are committed and POs are received

  • Verify costs are accurate and reasonable

  • Confirm rental period and description are correct

  • Save prepared invoices to a batch to be posted by the Billing & Collections Specialist

  • Sales Support

  • Liaise between new customers and credit department to set up new accounts

  • Administrative

  • Welcome all visitors and direct them appropriately

  • Ensure cleanliness and maintain/implement workplace organization

  • Manage the handling of and distribution of incoming mail

  • Answer HRS mainline Houston & Beaumont and distribute/transfer calls accordingly to the departments.

  • Manage gate access to both yard and employee parking area

  • Perform clerical tasks as needed by departments.

  • Assist in setting up meetings and events by arranging and organizing all necessary resources

  • Other administrative duties as needed.

    Requirements:

  • 2-5 years' experience in administrative function

  • Demonstrating a strong understanding of financial processes.

  • Detail-oriented and organized, with a keen eye for accuracy and precision.

  • Excellent communication and customer service skills

  • Foster positive relationships internally and externally.

  • Exceptional time management skills, adept at managing multiple priorities.

  • Numeric and strong attention to detail, ensuring payroll data integrity and reliability.
