Summary:

Our Administrative Assistant's key responsibility is overall support of office staff in multiple facets. You will be the first point of contact for anyone who walks through the F&B door. It is important that all clients, potential new hires and current employees walk out with a positive impression of F&B. The Administrative Assistant will be responsible for responding to all questions in a friendly and timely manner while collaborating with other departments and fulfilling the essential responsibilities. The descriptions below are representative of, but not limited to, the expectations of this role.

 

Five Key Roles of the Receptionist:

  • Greets clients, visitors, and guests; determines the purpose of each person's visit and directs or escorts him or her to the appropriate location
  • Manage a multi-line phone system- answers, screens, and directs phone calls to staff; takes messages and schedules appointments
  • Receives mail, documents, packages, and courier deliveries and delivers or distributes items-

``` - Scanning and e-filing documents for departments such as accounting, payroll, and project management for proper record keeping and operational workflow - Assist with projects for various departments including Leadership, Finance and IT

Essential Duties & Responsibilities:

  • Performs basic filing and recordkeeping
  • Prepare Fed Ex- drop mail and packages daily
  • Monitor and managing inventory of office supplies; order and distribute office supplies as necessary
  • Being attentive to client and other team member needs
  • Collaborate with IT to maintain phone distribution list
  • Other duties as assigned

     

Education, Experience & Qualifications:

  • High school diploma or equivalent required, Associates Degree preferred
  • 3-5 years of Administrative Assistant experience required
  • Excellent verbal communication skills
  • Excellent interpersonal and customer service skills
  • Ability to multi-task
  • Basic understanding of administrative and clerical procedures and systems
  • Proficient with Microsoft Office Suite or related software
