Aston Carter Office Administrator in Harvard, Illinois
Looking for:
3-5+ years of work experience in office administration or customer service.
Proficient in Microsoft Office.
Experience with QuickBooks software is preferred.
Manufacturing experience is preferred.
Outstanding communication and collaboration skills.
Responsibilities
Receive orders and prepare shipments for parts orders, including some light assembly and packaging.
Work with carriers and customers to coordinate shipments on equipment orders.
Receive and process new equipment orders from the sales group.
Answer phone calls and respond to emails throughout the day.
Respond to customer inquiries and issues, provide product information, and answer questions.
Utilize QuickBooks to enter bills for Accounts Payable, monitor and resolve outstanding issues with Accounts Receivable, and process invoices.
Conduct monthly reports, including a commission summary, California sales tax summary, and others as requested.
Order raw materials, coordinate with vendors on pricing and quality, and conduct new vendor qualification.
Manage raw material inventory, lead cycle and full inventory counts as required.
Support employee health insurance program, process documentation, and interface with the provider.
Provide administrative assistance to ownership and management team members as required.
Assist on the shop floor when time permits.
Work Environment
This is a full-time position with hours from Monday to Friday, 7am to 4pm. The role is primarily office-based but requires someone comfortable assisting the team in the warehouse and production floor when necessary. The position is career-based with long-term growth opportunities.
