Job Purpose Summary:

The Administrative Assistant, Travel will provide support and assistance to the Management Team of the Travel department, playing a crucial role in ensuring smooth operations. Strong organizational skills, attention to detail, and proficiency in office software are essential to this position. The position's ability to communicate effectively and provide excellent customer service will contribute to the overall success of the Travel department.

Essential Functions:

  • Assist Travel Management Team with day-to-day activities including organizing and maintaining calendars, correspondence, and records; schedule supplier appointments as well as arrange meetings and conferences; assist in deployment of pay for performance program.
  • Communicate and/or coordinate with various individuals, departments, and groups.
  • Coordinate all promotions/offers to support Travel Advisors and all Travel Department Incentives.
  • Organize, schedule, and attend various meetings and events; arrange logistics as well as create and distribute meeting agendas and minutes. 
  • Run, maintain, and update department reports, meeting agendas, project proposals, and other routine and non-routine correspondence clearly, and timely.
  • Utilize, support, and update the AAA back-office accounting system and membership interface to ensure accuracy of data contained within.
  • Engaging with members/clients in such a manner as to ensure we are "Totally Satisfying" or exceeding expectations.  
  • Additional duties as assigned.

Knowledge, Skills, and Abilities:

  • High school diploma or equivalent.
  • Minimum of one year working retail knowledge or equivalent experience. 
  • Excellent internal and external customer service skills with the ability to communicate, both verbally and in writing, with a professional, positive, flexible approach; demonstrated ability to interact well with all levels within the organization.
  • Proven ability to work independently and with minimal supervision at a high level as well as part of a team-based culture.
  • Demonstrated attention to detail with a hyper-focus on accuracy.
  • Ability to handle multiple tasks and prioritize simultaneously; some with a high degree of sensitivity and confidentiality.
  • Develop and maintain a working knowledge of the AAA products, services, preferred operating system, specialized department software, and MS Office applications as well as knowledge of preferred travel supplier and services provided by other departments with n AAA Central Penn.
  • Accurate accounting, ability to calculate figures and amounts such as discounts, percentages, etc.
