We are seeking a highly motivated, self-starter to provide executive level support to the SVP of North America Manufacturing. This person will be responsible for ensuring the administrative functions of the department are handled in a professional, timely, and accurate manner.

Key Responsibilities/Accountabilities:

  • Maintain executive and departmental calendars, arrange travel

  • Drive the North America Manufacturing Leadership agenda together with the Leadership Team

  • Have working knowledge of IT equipment and assist with startup of various scheduled meetings

  • Set weekly agenda and facilitate team meetings

  • Collaborate with the department heads to make certain SVP/team is informed of upcoming meetings/events requiring preparation and coordination of material

  • Implement regional and global governance plans and ways of working for SVP and leadership team

  • Gain working knowledge of business by way of attending functional meetings and or special tasks

  • Learn to anticipate business needs and challenge/suggest additional avenues to achieve business goals

  • Prepare documents, presentations, and reports supporting either department or governance forums

  • Responsible for the team’s administrative routines as well as proficiency in IT tools such as MS Office, Teams, and SharePoint

  • Facilitate clear communication within the teams and to other departments and stakeholders

  • Responsible for development and administration of the communication channels/tools utilized

  • Coordinate with global network of executive administrators to arrange meetings and events accommodating multiple time zones

  • Coordinate all aspects of meetings and special events (onsite and offsite)

  • Reconcile monthly corporate credit card statement, verify incoming invoices, expense reports, and process for payment

  • Ad-hoc duties and strategic projects as assigned

Who are you?

  • 5+ years of experience in executive level administrative support, preferably in a global environment

  • Positive, service mind-set

  • Team player, strong interpersonal & networking skills

  • Proficient in Microsoft Applications including Office 365: Word, Excel, Power Point, and Outlook

  • Ability to manage multiple tasks at one time and in an accurate and timely manner

  • Exceptional organizational skills

  • The ability to handle confidential matters

  • Excellent communications skills (both written and spoken)
