Accounts Payable Specialist

Reporting into the Manger, Accounts Payable, the Accounts Payable Specialist is responsible for processing all invoices received for payment.

Essential Functions

  • Process accounts and incoming payments in compliance with financial policies and procedures.

  • Execute weekly check runs and distribution.

  • Scan all accounts payable check copies and invoices into the web-based document management system.

  • Maintain upkeep on all outstanding checks and outgoing notifications.

  • Manage the review and approvals of travel expenses in the travel and expense management system (SAP Concur).

  • Obtain approvals for new vendors, reviewing vendor tax information as appropriate.

  • Review and process for payment purchase orders, invoices, statements vouchers and/or other check requests, as appropriate.

  • Handle the resolution of account discrepancies and procedural inquiries.

  • Assemble, review and verify invoices and check requests.

  • Ability to flag and clarify any unusual or questionable invoice items and prices.

  • Research and resolve invoice discrepancies and issues.

  • Monitor accounts to ensure payments are up to date.

  • Correspond with vendors and respond to inquiries.

  • Maintain vendor record files.

  • Other job duties as assigned.

    Essential Knowledge, Skills & Abilities

  • Knowledge of standard accounts payable policies, procedures and regulations.

  • Strong customer service skills and communication skills, both written and verbal.

  • High degree of accuracy and attention to detail.

  • Proficient in alpha and numeric data entry

  • Ability to work independently as well as within a team setting.

  • Ability to multitask and manage competing priorities.

  • Experience with Banner by Ellucian, the higher education enterprise resource planning (ERP), preferred.

  • Experience with travel and expense management system, SAP Concur preferred.

    Qualifications

  • 2 – 4 years accounts payable experience.

  • Associate’s degree

  • Bachelor’s degree preferred.

    Work Environment/Physical Demands

  • This job is performed at a work station in a positive, creative and collaborative environment that may sometimes become quite noisy.

  • This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets.

  • This is a largely sedentary role.

  • The ability to maintain good concentration while dealing with interruptions.

    Hours and Travel

  • A typical work week is 37.5 hours Monday through Friday 9am to 5pm.

  • Occasional overtime may be required.

  • No travel is expected for this position.

The anticipated salary range for Senior Payroll & Benefits Specialist is $46,750 to $55,000. The final salary offered may vary and will be determined based on factors such as the job-related knowledge, skills, experience, and education of the successful candidate. This information is provided per NYS local law.
