Job Summary

College of Lake County is seeking an Academic Operations Associate to serve as the primary administrative support for both the Business and Social Sciences ( BSS ) and the Engineering, Math, and Physical Sciences ( EMPS ) Divisions. This role will support the leadership teams, staff, and faculty and is the primary contact for visitors to the Division offices. This position is under the supervision of the Academic Operations Manager, EMPS .

The individual will have the ability to work in an independent manner, interact and work effectively with college community, faculty, staff and students while maintaining strong working relationships.

This is a full time position scheduled between the hours of 8:00am – 4:30pm Monday – Friday, with flexible availability to meet the needs of the college during periods of peak business activity.

Required Qualification(s)

  • High school diploma or equivalent

  • Minimum of two (2) years of related experience

  • Excellent oral and written communication skills. Ability to multi-task and work under pressure.

  • Ability to adapt to changing priorities and schedules. Ability to work with confidential information.

  • Excellent customer service skills – in person, e-mail, phone, video, etc.

  • Proficiency in MS Word, Excel, PowerPoint.

  • Ability to utilize computer technology to access data, maintain records, generate reports and communicate with others (email).

  • Ability to work in a highly collaborative environment.

  • Proven ability to work effectively and constructively with persons of diverse cultures, language groups, and abilities; demonstrate sensitivity to and ability to work with the diverse academic, socioeconomic, cultural and ethnic backgrounds of community college students, faculty, and staff, including those with disabilities; establish and maintain effective working relationships with those contacted in the course of work.

Summary of Essential Functions

Student /Customer Services- 45%

  • Serve as the first point of contact for visitors, answer telephones, review inquiries, provide assistance, and positively represent the College and the EMPS and BSS divisions to students, faculty, administrators and the community. Responds to basic questions and routes referrals appropriately.

  • Communicates with and provides updates to students, staff, and faculty as assigned, which includes but is not limited to, class cancellations, incomplete grade verifications, scheduling rooms for special requests, and other pertinent information.

  • Promotes and advances a welcoming and safe environment by providing positive, friendly service to all students, staff and faculty via in person, e-mail and phone interactions.

Department Operations and Projects – 50%

  • Ability to multitask with projects, phones, incoming visitors, faculty, and staff.

  • Ensures assignment accuracy using attention to detail and effective communication.

  • Prepares/sorts/routes a variety of divisional correspondence and instructional materials requested by department chairs and leadership teams, and/or staff.

  • Updates and maintains division databases including but not limited to PeopleSoft and Outlook, division email inboxes, and faculty mailboxes.

  • Assists and supports the divisional staff with a variety of assignments, including but not limited to assembling information for faculty forms, or other documents as needed.

  • Schedules appointments as needed by administrative and professional staff.

  • Tracks and maintains office supplies inventory.

  • Responds to emergency situations adequately either on their own or by contacting supervisory personnel and/or the CLC Police Department.

  • Uses discretion and knowledge of college and departmental policies and procedures throughout duties.

  • Performs other related duties as assigned.
