Job Description
Summary:
Daily front desk operations including answering phones, greeting visitors and completing administrative tasks in support of the organization.
Primary Duties and Responsibilities:
Welcomes visitors by greeting them and following security procedures, answering multi-line phones and transferring calls to appropriate people/departments.
Maintains security by following procedures; monitoring logbook; issuing visitor badges, stays up-to-date on any new information.
Maintains safe and clean reception area by complying with procedures, rules, and regulations. Maintains and updates front desk process manual.
Maintains the GTC Visitor Management Requirements.
Receives, sorts and distributes all incoming mail. Processes all outgoing mail. Maintains postage meter.
Other administrative duties as they come up and are assigned.
Job Qualifications:
Multi-line switchboard experience
Demonstrate excellent verbal and written communication skills
Professional attitude and appearance
Customer focus, both internally and externally
Attention to Detail
Proficient in MS Office
Ability to be resourceful and proactive when issues arise, problem solving skills
Multitasking and time management skills, with the ability to prioritize tasks
Minimum of two years’ experience as a front office receptionist, including the use of multi-line phone system required.
California Notary Public Certification would be a plus
High School Diploma
Some college would be helpful
Must be a US Citizen of permanent resident.
Working Conditions:
- Be able to lift 25 lbs.

Strong communication skills
Attention to detail to ensure that assignments are completed accurately.
Strong organization and planning skills are required, coupled with the ability to be flexible while performing multiple duties that require workload prioritization due to special assignments and new tasks or projects being assigned.
Strong computer skills including knowledge of MS Word, Excel, MS Outlook desired.
Must have good coping skills in order to stay focused, calm and cool while juggling multiple demands and deadlines, including heavy phone traffic and customer interface.
Salary Range:
$37,200.00-$49,600.000
