This position supports the Vice President, Head of Strategy & Business Operations and the GM of 20th Century Games & Vice President of Business Development. This is a full time non exempt position in Glendale, CA.

You Will:

  • Strategically manage complex calendars in a fast-paced environment, proactively safeguarding executives’ time by prioritizing and vetting meeting requests

  • Manage Travel & Entertainment expenses, arrange travel bookings for executives and/or the team, and create detailed travel itineraries

  • Coordinate and facilitate meetings by preparing agendas, securing and organizing meeting spaces, ensuring room readiness, managing event logistics, attending and taking detailed notes, tracking key action items for follow-up, and providing presentation sharing and technical support as needed

  • Process and track vendor payments efficiently using SAP, ensuring accuracy and timeliness

  • Plan and execute team recognition events and other initiatives to boost morale and engagement

  • Oversee the onboarding and offboarding processes for team members, ensuring a seamless transition

  • Manage office supplies and equipment orders, along with other office management duties (such as coordinating office space and resources)

  • Collaborate closely with executives on projects, meetings, event planning, and office logistics to ensure smooth execution of daily activities

  • Proactively identify and resolve any issues, offering support as needed to ensure smooth operations

You Will Have:

  • A minimum of 5+ years of experience supporting business executives in large organizations in an administrative role, Disney experience is a plus

  • Proven success partnering and engaging all levels of Cast Members/Employees including Executive Leadership

  • Strong proficiency with Microsoft Outlook Suite (Outlook, Word, PowerPoint, Excel) and Keynote

  • Strong administrative skills with willingness to learn and adapt to new workflows and software

  • Professional demeanor with a commitment to maintaining confidentiality and discretion at all times

  • Excellent communication skills, with the ability to build strong relationships and manage phone and email correspondence diplomatically and professionally communications

  • Proactive in anticipating needs and challenges, with a strong ability to follow through and deliver results

  • Resourceful and adaptable in a fast-paced, dynamic environment

  • Extremely organized and detail-oriented

Preferred Qualifications:

  • Prior experience supporting at the VP level

  • Working knowledge of the gaming industry/Disney Games organization

  • Experience working in a large, highly matrixed organization

Education:

  • High School Diploma

Preferred Education:

  • Bachelor's Degree

The hiring range for this position in California is $64,300.00-$86,200.00 per year based on a 40 hour work week. The amount of hours scheduled per week may vary based on business needs. The base pay actually offered will take into account internal equity and also may vary depending on the candidate’s geographic region, job-related knowledge, skills, and experience among other factors. A bonus and/or long-term incentive units may be provided as part of the compensation package, in addition to the full range of medical, financial, and/or other benefits, dependent on the level and position offered.
