Purpose:

Prepares consumer and real estate loan documentation in addition to performing various daily loan operations activities. This position is responsible for delivering accurate loan documents in a timely and efficient manner, uploading loans to the core, executing quality control checks of loan documents, and daily loan general ledger balancing and file maintenance review. Performs a variety of clerical duties including scanning documents into the Banks document imaging system and preparing forms and letters as needed.

Critical Drivers:

  • Meets productivity and efficiency standards, and accurately completes loan documentation requests by established deadlines.
  • Uploads loans to core and performs maintenance accurately and efficiently.
  • Maintains an acceptable level of loan documentation and loan servicing exceptions, within span of control.
  • Complete as assigned duties accurately and by designated deadlines.

Precise Role, Task, and Responsibilities:

  1. Prepares accurate early and closing documents for a variety of consumer and real estate loans for six subsidiary banks and ensures all required approvals and authorizations, documents, and forms are present before sending documents to the requestor.
  2. Performs loan opening process which includes initial escrow calculations and the ordering of appraisals, flood certificates, title work, and income verification to ensure accuracy of supporting documentation for proper loan underwriting.
  3. Executes a quality control check of all required loan documents before the loan is booked and funded including reviewing title commitments and searches, checking for proper vesting, legal descriptions, dates, and signatures.
  4. Uploads loan information from the loan origination software to the core system for all loan requests is executed in a timely manner and within proper established controls. Performs daily general ledger balancing and file maintenance review.
  5. Makes initial loan advances, properly codes loans, and links borrowers and guarantors in Jack Henry.
  6. Processes consumer, commercial, and real estate loan payments, and advances on lines of credit.
  7. Scans loan documents images into AccuSystems along with tracking and monitoring document exceptions through this channel, periodically reporting on them to management. Obtains and reviews various insurance policies, vehicle titles, title policies, and other supporting loan documentation. Ensures all necessary documentation is obtained in a timely fashion and all exceptions are cured.
  8. Provides administrative assistance to Loan Officers and staff; performs a variety of clerical duties including ordering credit reports and preparing a variety of letters and forms such as commitment letters, mortgage releases, adverse actions, counter offers, and pay-off requests.
  9. Answers customer telephone and written inquiries.
  10. Provides direct and indirect customer service by sharing knowledge and providing guidance and answers for a variety of basic questions to customers, co-workers, and subsidiary bank staff, referring inquiries to the appropriate department or person as necessary.
  11. Assists in the writing and updating of departmental procedures and forms as well as maintaining them within AccuDoc.
  12. Ensures compliance with all Bank policies and procedures and all applicable state and federal banking laws, rules and regulations including Bank Secrecy Act and Anti Money Laundering to assist management in monitoring for suspicious activity, money laundering, or other illegal customer activity.
  13. May performs pre and post-closing loan review, ex cutes a quality control check of all required loan documents before the loan is booked and funded including checking proper vesting, legal descriptions, dates, and signatures.
  14. May track and renew UCC filings in order to keep Banks collateral position.
  15. Completes other projects and duties as assigned by the manager.

This job operates in primarily a clerical office setting. This role routinely uses standard office equipment such as computers, phones, copy machines, filing cabinets and fax machines.
