Hobart and William Smith Colleges Development Assistant in Geneva, New York

As the Development Assistant, s/he is responsible for supporting the Colleges' fundraising efforts and building lasting relationships with prospective and current donors through special events, stewardship, acknowledgements, donor recognition programs, and regular communications to keep donors informed about the use and impact of their gifts. The Office of Stewardship and Donor Relations is part of a team of colleagues who are responsible for raising gifts from leadership donors and will be a valuable contributor to group goals. S/he will represent the Office of Advancement and the Colleges in a highly professional manner.

RESPONSIBILITES:

· Create stewardship communications for donors/prospect, including the design, research and production of endowed and restricted fund status reports.

· In conjunction with the Director of Development, write copy for donor relations/frontline fundraising materials as required; draft letters, emails, etc.

  • Plan, develop and refine a complex gift acknowledgment process.

  • Develop and support a system of communications with the Office of the President that provides highly personalized acknowledgments in a highly efficient manner with an exceptionally high degree of accuracy. Use computer merges and downloads to create acknowledgement letters with accurate names, addresses, appropriate salutations, and gift designations. Manage tributes (in honor of and in memory of) with a high degree of personalization.

  • Compile a comprehensive set of letters to be used for both Advancement acknowledgments and Presidential acknowledgements.

  • Manage the gift reporting process by creating and providing multiple detailed gift reports to the President’s office, both athletics offices, and to Advancement staff members.

  • Develop a monitoring mechanism for all acknowledgments and analyze results.

  • Works with the Parent Program office to help manage the Parent’s Executive Committee, Cook Circle and related meetings, events, etc.

  • Attend reunion, homecoming and parents’ weekend, staff retreats and alumni/ae events. Also attend volunteer gatherings, alumni/nae council meetings and fund-raising events.

  • Oversee and handle sensitive personal and financial information, and interact directly with leadership donors, and key alumni volunteers.

  • Performs other related duties as resigned.

    OTHER INFORMATION:

    This administrative position is full-time, 12-month, benefit-eligible, non-exempt hourly position. Normal hours of work are 8:30 a.m. to 5:00 p.m. during the academic year with a possible shortened work week during the scheduled summer hours. Pay rate is $19.82/hour.

    An associates degree and at least two years of related experience as an administrative assistant are required. Bachelors degree is preferred. This individual must be discreet, should possess excellent communications skills in order to communicate effectively with internal and external audiences, and be very capable of making autonomous, sound decisions. Ability to work in a fast-paced environment, establish priorities and meet deadlines is important. Polished social skills, approachability, and ability to represent HWS at events are a must. Excellent working knowledge of Microsoft Office (Word, PowerPoint, Excel, Outlook, and Access) is required. Good working knowledge of using the internet is important. Knowledge of development software, The Raiser’s Edge, is desirable.
