We are seeking an experienced Payroll Specialist with a minimum of 3-5 years of multi-state payroll processing experience to join our EPIC team. The ideal candidate will be proficient in processing weekly payroll using UKG Ready and have a strong understanding of garnishment calculations, as well as state and federal payroll tax processing. This role is crucial in ensuring that our employees are paid accurately and on time while maintaining compliance with all relevant regulations.

Responsibilities/Duties

Job Duties

  • Payroll Processing:

  • Process weekly payroll for multi-state employees using UKG Ready, ensuring accuracy and timeliness.

  • Review and verify timesheets, wage computation, and other information to detect and reconcile payroll discrepancies.

  • Maintain payroll records and ensure compliance with company policies and government regulations.

  • Garnishments & Deductions:

  • Calculate and process garnishments, levies, child support, and other wage deductions accurately and in accordance with legal requirements.

  • Ensure all garnishments and deductions are applied correctly and remitted to the appropriate agencies on time.

  • Tax Compliance:

  • Prepare and process state and federal payroll tax filings, including but not limited to 941, 940, and state unemployment tax returns.

  • Stay up-to-date with changes in tax regulations and ensure compliance with all state and federal payroll tax laws.

  • Assist with quarterly and annual tax filings, including W-2 and 1099 forms.

  • Reporting & Auditing:

  • Generate and analyze payroll reports, including earnings, deductions, and tax reports, for management review.

  • Conduct regular audits of payroll data to ensure accuracy and compliance with internal controls and policies.

  • Assist with year-end payroll activities, including reconciliations and audits

  • Employee Support:

  • Address and resolve payroll-related inquiries from employees, providing clear explanations and support as needed.

  • Educate employees on payroll processes and policies, including the impact of changes in deductions, taxes, and other payroll-related items.

  • System & Process Improvement:

  • Collaborate with the HR and Finance teams to identify opportunities for improving payroll processes and system efficiencies.

  • Participate in system upgrades, testing, and implementation of new features in UKG Ready

Required Skills

Job Requirements

  • Bachelor's degree in Accounting, Finance, or related field (or equivalent experience).

  • Minimum of 3-5 years of payroll processing experience, with a focus on multi-state payroll.

  • Proficiency in using UKG Ready (formerly Kronos Workforce Ready) or similar payroll software.

  • Strong understanding of garnishment calculations and payroll tax regulations at both the state and federal levels.

  • Excellent attention to detail and strong analytical skills.

  • Ability to handle confidential information with discretion and integrity.

  • Strong communication skills, both verbal and written, with the ability to explain complex payroll concepts to employees.

  • Certification such as Certified Payroll Professional (CPP) is a plus.
