Job Description:

The Assistant Director of Administrative Services will assist the Director of Administrative Services in managing all accounting and administrative aspects for large initiatives and centers within the HWCOE. The incumbent will assist in the oversight and ensure accounting policies and practices of the organization are followed, manages the financial record keeping, reporting, and other accounting functions, and assists in analyzing the effectiveness of and establishing future direction for operational policies and programs.

Budget allocation and management:

Manage budget associated with special initiatives within the college. This will include major centers and institutes within the department. Oversee spending of all funds associated with the institute or center including funds allocated to other university departments and outside entities. Ensure appropriate tracking of all budget line items associated with the institute or center. Prepare financial statements and reports to assess the center or institute’s financial status and ensure all financial commitments are met as required. Works with the Director to prepare and manage the annual budget. Prepare and process budget transfers as needed for the Department. Work with the Director to address and promote the Department's financial goals and objectives. Prepare and submit requests to the College for earning accounts codes, flex fields, and new department IDs.

Sponsored Project Administration:

Works closely with the Director to assist research administrators in overseeing all research contracts and grant financials, ensure compliance with Federal, State, and agency laws and regulations, and aid principal investigators. Serves as backup to review contract and grant proposals for risk assessment and for commitments of departmental resources and finances. Serves as backup to review agreements obligating the Department financially or otherwise. May also provide assistance to other HWCOE departments in times of staff shortages.

Coordination of special initiatives:

Assist the HWCOE Directors or Associate Directors as needed to manage special initiatives. This may include but is not limited to organizing training schedules for new staff within the college. Coordinate annual reporting for centers and institutes within assigned HWCOE departments.

Other:

Provide support to the department as needed to ensure the success of the research and fiscal teams. This may include backing up others, and other duties as assigned.

Expected Salary:

$60,500-$96,600; commensurate with qualifications and experience

Minimum Requirements:

Master's degree in an appropriate area and two years of relevant experience; or a bachelor's degree in an appropriate area and four years of relevant experience.

Preferred Qualifications:

  • Knowledge of general managerial and administrative principles.

  • Knowledge of UF fiscal processes (purchasing, personnel, cost analysis, etc.).

  • Knowledge research administration.

  • Strong knowledge of Micorsoft Excel.

  • Ability to prepare financial statements and reports.

  • Ability to resolve complex problems.

  • Ability to exhibit effective communication skills in both speech and writing.
