Job Description:

The CLAS Academic Advising Center (AAC) in the College of Liberal Arts and Sciences (CLAS) is seeking an Admissions Assistant II. This position is responsible for the daily operations associated with the initial processing of undergraduate transfer student applications in CLAS. The incumbent provides general office support within the center and supports the recruitment, application, and admissions process for transfer students within the College of Liberal Arts and Sciences.

Duties and responsibilities include, but are not limited to:

Application Processing:

  • Track the status of transfer student applications from submission to completion, ensuring that all required materials are received and processed promptly.

  • Provide regular updates to applicants regarding the status of their application, including any outstanding requirements or missing documents.

  • Coordinate with admissions staff and academic advisors to resolve issues or discrepancies related to application materials and ensure a smooth admissions process.

  • Thoroughly review transfer student applications and supporting documentation to verify the accuracy and completeness of information provided.

  • Evaluate transcripts, test scores, and other application materials to determine eligibility for admission to the university, adhering to established criteria and guidelines.

  • Identify and address any discrepancies or inconsistencies in application materials, seeking clarification or additional information from applicants or relevant sources as needed.

  • Distribute transfer student applications to appropriate reviewers or admissions committee members for evaluation and consideration.

  • Ensure that transfer applications are assigned and processed efficiently, prioritizing timely review and decision-making to meet application deadlines.

Application Review:

  • Evaluate transfer student applications in accordance with university policies and procedures, considering factors such as academic qualifications, transfer credits, and program requirements.

  • Apply standardized criteria and guidelines to assess the admissibility of transfer applicants, making objective and well-informed decisions regarding admission status.

  • Document review outcomes and recommendations, providing clear and concise feedback to admissions committee members and other stakeholders as needed.

Front desk duty at the AAC

  • Serve as the frontline representative of the CLAS Transfer Center by staffing the front desk at the AAC.

  • Greet visitors, answer phone calls, and respond to inquiries from students, parents, and other guests.

  • Provide general information and assistance regarding transfer admissions, application procedures, and university resources.

  • Direct visitors to appropriate staff members or campus offices for further assistance as needed.

  • Respond promptly to inquiries received by the CLAS Transfer Center, providing accurate information and assistance to prospective students, parents, high school counselors, and community college advisors.

  • Effectively direct inquiries to the appropriate staff members or resources within the center, ensuring a seamless and efficient resolution of inquiries and requests.

  • Provide information about the university's academic offerings, admission requirements, and student support services to interested individuals.

  • Respond promptly to inquiries received by the CLAS Transfer Center, providing accurate information and assistance to prospective students, parents, high school counselors, and community college advisors.

  • Effectively direct inquiries to the appropriate staff members or resources within the center, ensuring a seamless and efficient resolution of inquiries and requests.

  • Provide information about the university's academic offerings, admission requirements, and student support services to interested individuals.

Processing general AAC forms

  • Assist with processing general administrative forms and paperwork related to transfer admissions.

  • Review and verify the accuracy of completed forms, ensuring that all required information is provided and properly documented.

  • Input data into relevant databases or electronic systems, maintaining accurate records and files.

  • Collaborate with other staff members to ensure the timely completion and processing of administrative tasks and paperwork.

As the largest college on campus, the College of Liberal Arts and Sciences is charged with teaching the university’s core curriculum. We are home to the humanities, the social and behavioral sciences, and the physical, natural, and mathematical sciences.

Expected Salary:

The salary is $20-$21 per hour, commensurate with qualifications and experience, and the compensation includes a full benefits package.

Minimum Requirements:

A high school diploma or equivalent and four years of appropriate experience. Appropriate college coursework or vocational/technical training may substitute at an equivalent rate for the required experience.

  • Demonstrated organizational skills and meticulous attention to detail, ensuring accuracy and quality in all tasks.

  • Proficiency in Microsoft Excel, Word, Outlook, and PowerPoint, with the ability to efficiently utilize these software applications to support administrative tasks and data management.

  • Proven ability to work independently and autonomously, taking initiative to complete tasks and solve problems as they arise.

  • Familiarity with University of Florida policies, procedures, and programs, enabling effective communication and collaboration with internal stakeholders.

  • Exceptional interpersonal skills, with the ability to interact courteously and tactfully with diverse individuals.

  • Strong verbal and written communication skills, facilitating clear and effective communication with colleagues and stakeholders.

  • Ability to establish and maintain positive working relationships with colleagues, fostering a collaborative work environment.

  • Proficient in following both verbal and written instructions accurately, ensuring compliance with established policies and procedures.

  • Track record of successfully managing multiple projects simultaneously, demonstrating the ability to prioritize tasks and meet deadlines.
