This is an open Career Service Administrative Assistant I position with the Department of Health in Lee County.

Your Specific Responsibilities:

This position reports directly to the Operations & Management Consultant Manager-SES of the Planning and Performance Management division. The Administrative Assistant I will provide administrative support to the Operations & Management Consultant Manager-SES and to direct reports. The incumbent will work independently with minimal supervision by applying sound decision-making processes, organizing and prioritizing routine duties and special assignments, and completing those tasks in an efficient manner with quality results. Incumbent handles confidential information on a "need to know" basis as defined in the Information Security and Privacy Policy, DOHP 50-10. The incumbent complies with all standards that accompany this description and is responsible for the accuracy, integrity, security and privacy of client, employee and program information under the direct control of this position.

Administrative Support to the office of Planning and Performance Management:

The Administrative Assistant I manages the daily operations by:

  • Professionally addressing inquiries from the public, DOH-Lee staff, DOH Headquarters, local agencies, and community partners.

  • Managing mail, deliveries, supplies, appointments, meetings, and human resource tasks.

  • Applying standard office practices to tasks like scheduling, preparing materials, handling correspondence, arranging travel, compiling reports, and special assignments.

  • Performing HR duties, including preparing position descriptions, organizational charts, and managing recruitment and hiring processes.

  • Preparing and updating budgets for assigned L4s.

  • Completing the annual after-hours on-call report for the Administrator.

    These tasks require knowledge of and proficiency in DOH Accounting, Purchasing, Travel, Human Resources, and Budget policies and procedures.

    Administrative Support to the office of Vital Statistics:

    The Administrative Assistant I manages the daily operations by

  • Handling routine tasks like scheduling, preparing meeting materials, correspondence, and managing travel arrangements and reimbursements.

  • Performing HR duties such as preparing position descriptions, organizational charts, and managing recruitment, interviews, and hiring.

  • Conducting quarterly audits with CDR to ensure safety paper accountability.

    These tasks require knowledge of and proficiency in DOH Accounting, Purchasing, Travel, Human Resources, and Budget policies and procedures.

    Customer Service data collection and reporting:

    The Administrative Assistant I will provide ongoing customer service reporting metrics through the collection, data entry, and reporting of customer satisfaction surveys. The Administrative Assistant I manages these operations by providing:

  • Quarterly Customer Survey Reports

  • Quarterly Customer complaints acknowledge by next business day report.

    These tasks require knowledge of and proficiency in applicable DOH policies and procedures, knowledge of and proficiency in standard business office practices.

    Internal and External Event Scheduling:

    The Administrative Assistant I coordinates meetings, trainings, and events for staff, including scheduling, booking venues, sending invitations, managing RSVPs, preparing materials, arranging A/V equipment, coordinating catering, recording minutes, and liaising with speakers. This role requires proficiency in Outlook, strong communication skills, and the ability to network with coworkers, community organizations, and the public.

    The Administrative Assistant I will perform other related work duties as required.

    Required Knowledge, Skills, and Abilities:

  • Knowledge of DOH-Lee principles, practices and procedures.

  • Knowledge of correct spelling, punctuation and grammar usage.

  • Knowledge of standard business formats and styles for letters and business forms.

  • Skill in operating a personal computer.

  • Skill in using MS Office (Word, Excel, Publisher, and PowerPoint) and Outlook.

  • Ability to operate general office equipment.

  • Ability to follow office procedures and practices.

  • Ability to organize and maintain filing systems.

  • Ability to handle telephone calls in a courteous and effective manner.

  • Ability to plan, organize, coordinate work assignments and communicate effectively verbally and in writing.

  • Ability to establish and maintain effective working relationship with others.

  • Ability to understand, interpret and apply applicable rules, regulations, policies and procedures.

  • Ability to prioritize individual workload.

  • Ability to frequently bend, kneel, reach, and sit or stand for long periods of time.

  • Ability to lift and carry up to 50 pounds as needed.

  • Ability to frequently use telephone, computer, copier and small hand tools, i.e.; stapler, scissors, etc.

  • Ability to locate information that is listed alphabetically and numerically.

  • Ability to review data for accuracy and completeness.

  • Ability to work independently or with minimal supervision.

  • Incumbent may be required to work before, during and/or beyond normal work hours or days in the event of an emergency. Emergency duty required of the incumbent includes working in special needs or Red Cross shelters, or performing other emergency duties including, but not limited to, responses to threats involving any disaster or threat of disaster, man-made or natural.

  • Selected immunizations or titers and/or periodic screening for tuberculosis may be recommended for this position.
