Sargent Corporation Project Executive in Fremont, New Hampshire

Location: Fremont, NH

Status: Full-time, Exempt

Reports To: Operations Manager and/or Division Manager

We are seeking a skilled Project Executive to play a vital role involving end-to-end responsibility for bids ranging from $1 to $50MM+, starting with initial document review and following through to delivery of complete bid submittals.

Position Summary

As a Project Executive, you will p rovide technical management for construction projects and provide administrative support with the project superintendents through final completion.

Essential Job Functions:

  • Serve as the primary client contact to evaluate project scope and resource requirements for successful completion.

  • Conduct thorough reviews of contracts, plans, specifications, geotechnical reports, estimates, and bids to fully understand the project.

  • Develop and coordinate project-specific responsibilities with the superintendent.

  • Maintain effective communication with the estimator, engineer, owner, and superintendent.

  • Establish and organize project files, including the job information packet.

  • Participate in Pre-Construction and Hand-Off meetings to ensure alignment of project goals.

  • Prepare initial project documents, including preliminary schedules, submittal logs, pay requisitions, and schedules of values.

  • Secure necessary permits, bonds, and insurance to facilitate contract signing.

  • Support the project team by ensuring a deep understanding of job details and forecasting materials and resources required from 1 week to 3 months in advance, identifying long lead-time items.

  • Review item master and job cost reports, flagging potential issues and resolving them proactively.

  • Update project schedules and ensure completion of pre-construction action items identified in the Job Strategy Meeting.

  • Coordinate with owners, representatives, and customers, ensuring strong relationship management.

  • Schedule and lead regular progress meetings with the owner to address project milestones and updates.

  • Manage scope changes and change orders, ensuring clear documentation and approvals.

  • Oversee financial aspects, including cash flow, invoices, payroll requests, subcontractor payment applications, and requisitions.

  • Regularly update project budgets to reflect current and anticipated costs.

  • Attend Exit Strategy meetings to contribute to the development of final schedules, actions, and project closeout plans.

  • Oversee substantial and final completion processes, including preparing requisitions for final payment.

  • Manage the punch list, retention follow-ups, and post-job review processes, including gathering materials, obtaining closeout certifications, and processing lien waivers.

  • Submit final as-built documents and ensure all subcontractor contracts are finalized.

  • Provide letters of recommendation for exceptional subcontractors and request client recommendations upon project completion.

    Qualifications

    Education & Experience

  • Minimum High School Diploma or GED. Four-year Engineering or Construction Management degree preferred, or equivalent combination of technical training and/or related experience.

  • Work experience in Heavy Construction as well as Construction Supervision.

  • Extensive knowledge of and experience in all aspects of construction (technology, equipment and methods); contracts, jurisdictions, negotiations, engineering, estimating, schedules and safety requirements.

  • Proficiency in Microsoft Office Suite.

  • OSHA 30-hour training.

  • A valid driver’s license with a clean driving record is required.

    This full-time position will be located at our Fremont, NH regional office. The Project Executive will collaborate with members of our New England estimating team, focusing primarily on projects in the surrounding region. Short-duration travel may be required on occasion.
