Adecco is assisting the Commonwealth of Kentucky with a Administrative Assistant in Frankfort, KY . Under the supervision of the Deputy Executive Director - Office of Educational Programs, the Administrative Assistant shall provide daily operational support for the Office of Educational Programs – Everybody Counts initiative. This position will directly support the Deputy Executive Director with daily tasks and activities for the initiative. The Administrative Assistant will serve as the primary contact for all general inquiries and must possess strong organizational, customer service, communication, and technology skills. This position requires 3-4 days in the Frankfort office with an option for 1-2 days remote based on performance.

Duties and responsibilities are outlined below.

Primary Duties Include:

· Exhibit high levels of customer service through polite and professional communication Serves as the primary contact for general inquiries received via email and phone communication.

· Communicate in a timely and professional manner through email and phone with all internal and external stakeholders and partners

· Schedule appointments and meetings (virtual and in-person) for the Deputy Executive Director

· Schedule conference rooms, training facilities, on and off-site locations for activities, workshops, and events associated with the Everybody Counts initiative

· Provide administrative support for training, workshops, activities, and events as needed and assigned

· Maintain the Master Outlook Calendar for the initiative involving multiple school districts and regional events and activities

· Coordinate and completes tasks including but not limited to forms completion, document revisions, and fulfillment of State-specific processes

· Prepare and manage procurement and purchase requests in Salesforce

· Prepare and complete invoicing processes associated with staffing and timesheets

· Maintain office supplies and promotional items inventory by checking stock to determine inventory level, anticipating needed supplies, and placing and expediting supply orders

· Assist with the collection of invoices, vendor forms, contracts, and memos for events

· Perform monthly management of the SharePoint Document Library and maintain compliance with file storage

· Other administrative duties such as printing, filing, typing, copying, binding, scanning, etc.

Required Qualifications and Skills:

· High school diploma or equivalent

· 3+ years of Administrative experience

· Proficient in Microsoft Office software (Word, Excel, PowerPoint, Teams)

· Expert in Microsoft Office Outlook and SharePoint

· 1-2 years of experience in Salesforce technology system

· Ability to cooperate and collaborate with diverse team members across multiple counties and regions in Kentucky

· Proficient in virtual communication technology systems (i.e., Teams and Zoom)

· Ability to handle sensitive and confidential information

· Strong organizational and prioritization skills required

· Strong communication skills, written and verbal

· Ability to work independently and with a team, maintaining positivity and professionalism

· Ability to handle simultaneous projects efficiently and effectively

Pay Details: $21.00 to $22.30 per hour
