Job Description Summary:
Reporting to the Director, Facilities Administration, the Project Specialist III -Facilities Administration (FA) is responsible for administrative and business operations support including department operation, processes, coordination, and management of campus-wide Real Estate and Facilities activities.
Responsibilities:- Provides program task management support in operations maintenance, construction, and renovation of campus infrastructure such as finance, document records, archiving, procurement, workflow, and compliance.- Prepares department process maps, program user guides and presentation materials such as workflow creation, source referencing and document writing.- Supports administrative and operational functions for enterprise and Integrated Workplace Management Systems.- Directly monitors the development and management of FAs special projects, research, activities, and schedules.- Assists in the oversight of the Real Estate and Facilities functional programs compliance and implementation issues related to budget, procurement, and contract management.- Conducts research, audits, and prepares analytical schedules and reports regarding the responsibilities of FA functional programs.- Liaises and coordinates with related departments Coordinates office workflows, provides administrative support and assists with staff development and training.- Addresses common process questions and issues.- Reviews projects and contracts for compliance and takes appropriate actions to resolve discrepancies.- Assists in the preparation of progress reports for the Board of Regents.- Other duties as assigned.
Education and Experience:- Bachelor’s Degree or equivalent combination of education and experience.- Three years of related experience.
Knowledge, Skills and Abilities:- Knowledge of project management, workflow creation, and process mapping.
Skilled in excellent customer service and interpersonal relationships.
Skilled using computerized applications and enterprise systems, including word processing, spreadsheet, and presentation software.
Ability to research, analyze and solve problems.
Ability to think critically to effectively solve and communicate problems in a fast-paced environment where the demands for work are varied and unpredictable in scope and volume.
- Ability to multi-task and work cooperatively with others.
Preferred Qualifications:
- Proven experience working in a real estate and facilities environment.- Proven experience working in a higher-education environment.
