The Alaka`ina Foundation Family of Companies (FOCs) has a need for an EXECUTIVE ADMINISTRATIVE ASSISTANT to support our government customer, 711th HPW located at Joint Base San Antonio – Fort Sam Houston, TX.
DESCRIPTION OF RESPONSIBILITIES:
Serve as an advisor to the 711th HPW/RHD Division Chief, and reporting to the Chief on all administrative matters within the organization.
Review, evaluate, analyze, and implement higher headquarter guidance in support of the organizational mission.
Strategically and proactively manage data and update information retrieved from varied sources.
Assist the Government in performing a variety of executive-level administrative tasks, in support of the day-to-day oversight and management of the 711 HPW/RHD Division, by maintaining files, spreadsheets and briefings, preparing various types of documentation, tracking Division suspense’s, scheduling Division meetings, managing Front Office Group and Detachment 5 Command Section travel, and supporting meetings held by the Chief and/or Commander (with some requiring preparation of briefing materials, and taking notes/minutes from the meeting), and other within scope activities as required by the Chief and Detachment 5 Commander.
Provide support and coordination for higher headquarters and locally mandated program reviews, lab management reviews as well as other locally hosted meetings to include coordinating DV visits.
Provide data entry, retrieval and management support while helping program and technical staff. The contractor employee shall assist with 711th HPW/RHD’s management and technical expertise support for Share Point.
Type routine correspondence and reports using a personal computer, and operate office equipment such as photocopier, fax machine, scanner.
Answer the telephone, screen callers, maintain schedules for the Division Chief and Detachment 5 Commander, and relay messages and greet visitors.
Input personal planned leave into the office calendar each month prior to the leave taking place, for awareness purposes.
REQUIRED DEGREE/EDUCATION/CERTIFICATION:
Must possess a minimum of a high school diploma.
REQUIRED SKILLS AND EXPERIENCE:
Must have a minimum of ten (10) years of administrative expertise, and shall be (within the last three (3) years) in an executive administrative support capacity, preferably in an Air Force environment.
Must be proficient in all standard Microsoft Office computer applications (Word, Excel, PowerPoint, Planner, Teams, and Outlook).
Must have the knowledge and ability to maintain sites in Share Point for the Division.
Must be able to resolve questions, consult, and track down information on Share Point.
Must possess at least 5 years of experience DoD STINFO policies and regulations.
Must possess at least 5 years of experience using the Defense Travel System in accordance with the Joint Travel Regulation.
Must possess extensive organizational skills and the ability to work independently.
Must be willing and able to have a signed Non-Disclosure Agreement (NDA) in place with their company based on the potential access to confidential, proprietary, and/or sensitive information.
DESIRED SKILLS AND EXPERIENCE:
Previous AFRL Division Level executive administrative experience.
Should be familiar with the normal operations of Microsoft Teams and video teleconferencing equipment.
REQUIRED CITIZENSHIP AND CLEARANCE:
Must be a U.S. Citizen - Information Regarding Non-US Citizens Assigned to this effort – Contractor employees requiring access to USAF bases, AFRL facilities, and/or access to U.S. Government Information Technology (IT) networks in connection with the work on this contract must be U.S. citizens. For the purpose of base and network access, possession of a permanent resident card (“Green Card”) does not equate to U.S. citizenship.
